Under the direction of the Supervisor, this position is responsible for scheduling of appointments (if appropriate), managing tasks for the providers, submission of referrals, back-up reception as needed, ability to access, understand, and process tasks and duties in the electronic medical records system, have HEDIS and I-Star knowledge and participation, and act under the supervision of VP of Health Services. They must maintain adherence to policies, procedures and regulations of the Company and participate in an interdisciplinary and inter-facility approach to achieving the mission, philosophy, and goals of the Company. The Ward Clerk will interact with other departments, clinic personnel, and outside providers in a professional and friendly manner, to create and maintain a positive relationship with our internal and external customers.

  • Greet patients courteously, eye contact, smile.
  • Exhibit proper telephone etiquette.
  • Receive and process incoming calls. Able to handle multi-line telephones.
  • Schedule appointments in accordance with physician and/or department guidelines.
  • Update patient information in NextGen.
  • Be familiar with insurance contracts and unacceptable insurances.
  • Cancel/reschedule appointments according to physician schedule changes.
  • Schedule referral appointments according to protocol.
  • Update reception, eligibility, medical records and nursing staff or all changes to schedules throughout the day.
  • Responsible for managing the "tasks" that includes clearing tasks inbox daily, sending and receiving tasks
    Work as a back-up reception.
  • Access EZ CAP to verify referrals and update appointment log and forward weekly to SNP/QM coordinator.
  • Maintain and manage NextMD message retrieval and responses.
  • Handle complaints in a responsible and professional manner.
  • Maintain a clean work area.
  • Assist with submission of referrals for the providers as appropriate, utilizing online process when applicable.
  • Able to create and send tasks through EHR.
  • Take messages and answer them in a timely matter through EHR.
  • Stay current on Next Gen, EZ CAP updates.
  • Manage and follow the process for primary care provider (PCP) changes.
  • Assist in flowing back office patients with any clerical needs or follow up instructions.
  • Process all incoming correspondence ensuring the following are completed prior to giving to the provider: must have patient's chart number, last visit, next visit date, refill requests, reports, results, paperwork.
  • Utilizing online process when applicable.
  • Responsible to ensure that recent results of any test are retrieved and are ready for Provider to review.
  • Knowledge of patient forms:
  • DMV
  • Physical
  • Hadicap Placard
  • Disability, etc.Ā 
  • Understand the referral process and how to advise patients.
  • Responsible to retrieve hospital records in the event a patient was seen in the hospital.
  • Responsible for managing the "tasks" that includes clearing tasks daily, sending and receiving tasks.
  • Will act as the Provider liaison for patients, will answer calls and do all you can to work with the Provider to obtain an answer solution to their question.
  • Will assist Provider in submitting lab orders and radiology requisitions when needed.
  • Other duties as assigned.
Qualifications
  • High school diploma or equivalent, required.
  • Knowledge of computers.
  • Working knowledge of appointment scheduling, preferred.
  • Current CPR certification, required.Ā 
  • One-year experience in a physician's office or clinic, preferred.

The pay range for this position at commencement of employment is expected to be reasonably between $24.73 and $29.09. However, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience.

If hired, employee will be in an ā€œat-will positionā€ and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
