Position Summary
Maine Optometry is seeking a Human Resources Generalist to support employees, managers, and leaders across all locations while helping maintain a positive and productive work environment. This position is responsible for a wide range of human resources functions, including recruitment, onboarding, employee relations, performance management support, leave administration, compliance, benefits administration, training coordination, and HR records management. The HR Generalist, in collaboration with the HR Manager, plays an important role in ensuring consistent HR practices, promoting employee engagement, and supporting Maine Optometry's commitment to exceptional patient care.
Essential Duties and Responsibilities
Recruitment & Talent Acquisition
- Develops, facilitates, and implements all phases of the recruitment process including, but not limited to, job postings, screen applicants, and schedule interviews.
- Collaborates with department managers to identify and draft detailed and accurate job descriptions and hiring criteria.
- Identify and implement efficient and effective recruiting methods and strategies based on the available role, industry standards, and the needs of the organization.
- Assists with the interview process, attending and conducting interviews with managers and directors.
- Collaborates with the hiring manager and/or the Human Resources Manager during the offer process, identifying and recommending salary ranges, incentives, start dates, and other pertinent details.
Onboarding & Employee Experience
- Prepare onboarding documents for new hires.
- Conduct background checks using ADP's system.
- Coordinate and conduct new hire orientation and documentation.
- Partner with managers to ensure successful integration of new employees.
- Promote employee engagement initiatives.Â
Employee Relations
- Serve as a resource for employees regarding company policies, procedures, benefits, and workplace concerns.
- Support managers in addressing employee performance and conduct issues, including Performance Improvement Plans (PIPs), and related documentation.
- Assist with investigations, conflict resolution, coaching conversations, and corrective actions.
- Maintain confidentiality while handling sensitive employee matters.Â
Performance Management & Training
- Support annual performance review processes.
- Track performance evaluations and introductory review periods.
Benefits & Leave Administration
- Support employee benefits enrollment and changes.
- Assist employees with benefit-related questions and coordinate with benefit providers.
- Track FMLA, Maine Paid Family and Medical Leave (PFML), and other leave programs.
- Monitor leave compliance and documentation requirements.Â
Compliance & HR Operations
- Maintain employee personnel files and HR records in accordance with legal requirements.
- Assist HR Manager and Leadership to ensure compliance with federal, state, and local employment laws.
- Support workers' compensation, administration and reporting.
- Prepare employment verification requests and separation documentation.
- Assist with policy development, implementation, and updates.
Payroll & Workforce Support
- Assist with payroll process to ensure employee information is accurate and current.
- Assist with employee status changes, compensation documentation, and workforce reporting.
- Support workforce planning and staffing initiatives across multiple practice locations.
