Dental, vision, critical illness and injury coverage, long term care, pet insurance etc.                                                                Medical Office Support (MOS) - WCP Job Summary:   Medical Office Support (MOS)   Provides administrative support to the clinical back office by managing, processing, organizing, and maintaining incoming and internal documentation received through fax, mail, patient drop-off, or generated within the office. This position ensures accurate document workflows while supporting efficient back office operations through strong organization, attention to detail, and timely follow-through. Additional responsibilities include providing front office support as needed, assisting with daily operational tasks, providing coverage at the Fruita office, and participating in the Saturday coverage rotation.   Duties/Responsibilities:   Assist providers and back office staff with completion of patient paperwork and required documentation. Manage incoming and outgoing documents, including routing received documents, collecting items for   scanning, scanning documents into patient charts, and maintaining accurate records. Support provided as needed to process, input, route, and x-print faxes, including patient results and referral notes, when front office coverage is unavailable. Pull, input, and update patient records, including new patient and newborn records, immunizations, vital signs, and historical medical records; forward records to primary care providers for review as needed. Create and maintain patient intake packets, vaccine consents, back office forms, and other clinical resources. Score and enter clinical assessment tools and complete registry reports as needed. Manage patient-related tasks and follow-ups by taking messages, creating tasks, and ensuring information is routed to the appropriate team members. Run reports, respond to emails, make copies, and complete general administrative duties. Manage sample inventory, including medications and formula, by maintaining stock levels, rotating inventory, placing orders, and coordinating with sales and sample representatives. Maintain office supplies and inventory, including stocking medications, managing Prescription to Play LEGO inventory, ordering McKesson special-order supplies, and ensuring availability of other office materials as needed. Assist with seasonal and specialty clinics as needed. Provide administrative support to the Front Office Supervisor, Back Office Supervisor, and Office Manager by completing assigned tasks and assisting during downtime.   Front Office Receptionist- Cover and Back-Up Duties/Responsibilities: Schedule appointments via phone or electronic correspondence. Add new patient accounts. Schedule follow up appointments. Cancel and reschedule appointments. Manage electronic worklists. Manage templates for day-to-day edits and reschedules. Promote and assist patients in pre-visit / online scheduling use. Answer incoming phone calls and make outbound phone calls, gathering information to route appropriately. Counsel new and existing patients on Patient Overview, Financial responsibility and payment expected at time of service. Process, enter, route, and X-print incoming faxes, including patient results and referral documentation. Fax completed forms and documents to the appropriate recipients. Provide Medical Office Support with fax processing and related tasks as needed to assist the Front Office. Create and maintain Patient records. Verify and update patient demographics and insurance as needed. Prepare form letters and/or contact patients by phone to notify them of appointment changes. Work WCPA Front Office and individual task bins and Portal messages. Work Eagle Dream and any reports as assigned. Clean up lists of patients seen infrequently by transferring and inactivating the chart. Support Check-In/ Check-out positions as needed. Scanning documents into patient charts Work in the front office rotation on Saturdays.   Check-Out Collect patient co-pays, payments, and outstanding balances. Verify co-pays and amounts due through Phreesia. Schedule follow-up appointments as needed. Print immunization records or same-day clinical summaries upon request. Balance the cash drawer at the beginning and end of each day, and secure the cash box at closing. Print the daily billing report, attach all payments and checks, and prepare for morning billing pickup. Complete post-visit documentation, including Patient Update forms, Release of Information (ROI) requests, Proxy forms, and other required paperwork. Review Adelade for huddle sheets twice daily and update patient information as needed. Complete We Can! calls, text messages, and task management on a daily and weekly basis. Monitor the Medical File Share folder daily and address items as needed. Complete newborn and well-child care (WCC) reports as assigned. Perform additional administrative duties and special projects as assigned by the Administrative Team. Check-In Print encounter sheets for the next day's appointments, stamp self-pay accounts, and attach any required paperwork. Collect and accurately enter patient identification and insurance information into the practice management (PM) system. Send Pre-Check-In reminder alerts each morning, educate patients on the Pre-Check-In process, and assist with tablet use as needed. Manage the parent pickup area for paperwork, forms, and patient samples. Assist in expediting newborns and immunocompromised patients to the clinical area when appropriate. Resolve patient concerns and provide support at the Check-In desk. Process no-shows, cancellations, and appointment reschedules. Generate and mail well-child care (WCC) recall postcards at the beginning of each month. Verify patient insurance eligibility up to four days prior to scheduled appointments and for newly scheduled appointments throughout the day. Prepare new patient welcome bags and distribute them, along with welcome letters, to new patients. Check the mailroom throughout the day, document returned mail in the patient's chart, and route mail as appropriate. Complete foster care and well-child care (WCC) reports as assigned. Perform additional duties and special projects as assigned by Management. Work Experience: One to three years of experience in an office setting preferred, with familiarity and knowledge of general office procedures. Provide Front Office backup support as needed, including assistance at the WCP Fruita location.   Education Requirements: High School Diploma General Requirements: The ideal candidate will be dependable, organized, and detail-oriented, with a strong commitment to providing exceptional customer service. They will possess excellent communication skills, including strong phone etiquette and a pleasant, professional phone presence. The successful candidate must have strong computer skills, the ability to multitask, and the flexibility to work effectively in a fast-paced environment while maintaining accuracy and composure under pressure. This position requires someone who can remain calm when handling challenging situations, use sound judgment, and independently recognize, interpret, and prioritize tasks based on urgency and importance.   Position Type/Expected Hours of Work:   This is a full-time position requiring 40 hours per week. The schedule primarily consists of Monday through Friday rotations between 7:20 a.m. and 5:30 p.m., with a one-hour lunch period. Occasional Saturday rotations from 8:00 a.m. to 12:00 p.m. may be required.
