Responsibilities

Forest View Hospital, located just seven miles southeast of downtown Grand Rapids, Michigan, is a private 108 bed psychiatric facility that serves children, adolescents and adults. We are licensed by the State of Michigan, fully accredited by The Joint Commission and we bring more than 45 years of experience to the evaluation, diagnosis and treatment of a wide range of behavioral health problems. As a part of our continued success and growth, we are seeking qualified applicants for our Administrative Assistant position.

 

The Administrative Assistant provides support and assistance to the Chief Nursing Office (CNO) and all other members of the Nursing Leadership Team such as the Assistant Cheif of Nursing (ACNO), The Infection Control Nurse, the Nurse Educator and the Managers, and Supervisors with the department’s administrative activities. Coordinates various administrative processes and projects. This position provides the full range of administrative support activities for the nursing department.

 

 

Essential Job Responsibilities:

  • Answer/return phone calls for CNO and ACNO, manage mail and correspondence as needed.

  • Collects, reviews, and analyzes data, prepares reports and other presentation materials.

  • Distributes reports and other communications as needed and required.

  • Works with clinical shift supervisors to coordinate staffing needs for the Hospital,

    adjusting staffing for census increases/decreases and patient acuity/needs.

  • Maintains files, electronic data, and archives records consistent with the hospitals retention policy.

    • Team reports.

    • Assignment sheets.

    • Miscellaneous nursing department forms.

  • Schedules and coordinates meetings and other group meetings/activities as needed, including meeting minutes.
  • Purchases medical and office supplies consistent with hospital policy, ensuring necessary supplies are always maintained
    • Furniture
    • Medical equipment for hospital
    • Patient care items
    • Miscellaneous nursing department forms and supplies.
  • Manage medical equipment in nursing department, requesting service / inspections as needed.
  • Ensure employee hours are allocated to correct department/cost center.
  • Process time punch corrections for staff ensuring accurate time record and pay.
  • Track absences of nursing staff.
  • Provides updates to Director/supervisor when attendance concerns are identified, intervene directly with staff as directed.
  • Prepare corrective action documentation regarding absences, tardies, no call/no shows, refusals of mandations, personal conduct and other policy violations.
  • Conduct Interviews and recommendation of hire for new MHW candidates as needed and required.
  • Assist in the coordination of department new hire orientation as needed.
  • Assist in coordination of new employee performance evaluations.
  • Assist the Infection Control RN in the coordination and management of vaccine clinics, special projects and other regulatory reporting requirements as needed.
  • Acts as the liaison between Nursing Admin, HR, and Nursing department employees.
  • Special projects and other duties as assigned.

Hours: The hours for this position are Monday-Friday, Day Shift.

Qualifications

Education and Qualifications:

 

1. High School Diploma Required, associate degree preferred or an equivalent combination of education and general office experience.

2. Previous experience in a health care environment preferred.

3. Previous experience using time keeping and scheduling software.

4. Knowledge of general office equipment required.
