Position Summary:

The Executive Assistant provides high-level administrative and strategic support to the Chief Executive Officer (CEO) and the Vice President of Communications and Community Engagement. This role helps ensure effective operations and strong stakeholder relationships by managing executive priorities, coordinating communication with the Board of Directors, and supporting community engagement initiatives. The position requires exceptional organization, discretion with confidential information, and the ability to coordinate across internal and external stakeholders. Political awareness, sound judgment, and respect for chain of command are essential.


What You’ll Do

  • Provide high-level administrative support to the CEO and VP of Communications & Community Engagement, including calendar management, meeting coordination, travel arrangements, and preparation of briefing materials, presentations, and correspondence.
  • Serve as a primary liaison to the Board of Directors by coordinating board and committee meetings, preparing board packets, maintaining records, and documenting meeting minutes.
  • Coordinate internal communications and leadership meetings, helping ensure alignment between executive priorities and organizational initiatives.
  • Support community engagement and external relations efforts by coordinating speaking engagements, advocacy meetings, community events, and public-facing activities.
  • Prepare donor summaries, track donor engagement activities, and support relationship management with community partners and stakeholders.
  • Track action items and follow-ups from executive and board meetings to ensure priorities move forward.
  • Maintain organized systems for confidential documents and provide administrative support for special projects and cross-functional initiatives.

What You’ll Bring

  • Bachelor’s degree or equivalent experience
  • 3–5 years of experience supporting senior executives, preferably in a nonprofit, public sector, or mission-driven organization
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Excellent written and verbal communication abilities
  • Experience working with or supporting boards of directors is a plus
  • Ability to manage confidential information with professionalism and discretion
  • Proficiency in Microsoft Office 365
  • Political savvy, strong judgment, and the ability to work effectively with diverse stakeholders
