Intake Coordinator
Grand Rapids, MI
Pine Rest is seeking a compassionate and detail-oriented Intake Coordinator to serve as a key point of contact for individuals seeking behavioral health services. In this role, you will help assess patient needs, coordinate admissions, gather insurance and clinical information, and connect patients with the appropriate level of care. Working in a hybrid environment, this position combines remote work with regular on-site collaboration to support patients, families, referral sources, and clinical teams.

Intake Coordinator Key Responsibilities:
- Serve as a primary point of contact for patients, families, referral sources, and community partners
- Conduct intake and admissions activities to help connect individuals with appropriate behavioral health services
- Assess patient needs and coordinate referrals to the appropriate level of care
- Gather and maintain demographic, insurance, financial, and clinical information
- Verify insurance coverage and assist with funding and payment-related questions
- Enter and maintain patient information within the electronic medical record system
- Coordinate admission scheduling and hospital discharge follow up appointments
- Respond professionally to inquiries and provide information about available services
- Handle crisis calls calmly and appropriately, following established procedures
- Support clinicians and interdisciplinary teams by obtaining and organizing necessary documentation
Intake Coordinator Minimum Qualifications:
- High School Diploma or equivalent required
- Minimum of one year of related experience in admissions, intake, healthcare administration, customer service, behavioral health, or office support
- Strong interpersonal, communication, and customer service skills
- Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment
- Experience handling confidential information with professionalism and discretion
Intake Coordinator Preferred Qualifications:
- Experience in healthcare, behavioral health, hospital, residential, or outpatient settings
- Experience with electronic medical records (EMR) systems
- Knowledge of insurance verification, admissions, or patient registration processes

The equivalent base pay range for this position is $18.04 - $27.07. Your interview and offer letter will specify whether the role is hourly or salaried. Please note that this range does not include potential shift differentials, incentives, or bonuses, which may be part of the total compensation package.
