We are seeking a motivated and detail-oriented Operations Assistant to support daily EMS operations and serve as the primary liaison for affiliated Emergency Medical Responder (EMR) agencies. This position plays a key role in maintaining operational readiness, supporting workforce coordination, and strengthening partnerships with local EMR organizations.


The Operations Assistant works closely with leadership, field staff, and community partners to coordinate scheduling, manage operational data, support training programs, and ensure compliance with Wisconsin EMS regulations. This role combines administrative coordination, program support, and occasional field response responsibilities.


Key Responsibilities

路 聽Coordinate and maintain staff scheduling for ambulance coverage, training, meetings, and special events

路 聽Support operational readiness through resource coordination, logistics, and project tracking

路 聽Maintain accurate records, documentation systems, and data for reporting and quality improvement

路 聽Serve as the primary point of contact for EMR agencies, supporting communication and collaboration

路 聽Coordinate and deliver EMR training, continuing education, and onboarding

路 聽Ensure EMR compliance with Wisconsin DHS EMS regulations and organizational policies

路 聽Facilitate communication between staff, leadership, EMR agencies, and partner organizations

路 聽Support inventory management and supply coordination

路 聽Participate in emergency response as an ambulance driver or licensed EMS provider as needed


This is a safety-sensitive position, requiring sound judgment and professionalism in both administrative and potential field response environments.

Requirements

Licensure and Certification

路 聽Wisconsin EMS license (required)

路 聽CPR Instructor certification (required within 12 months of hire)

路 聽Wisconsin Instructor I certification (required within 6 months of hire)


Experience

路 聽Minimum of 2 years of EMS experience

路 聽Experience at the EMR level or higher preferred

路 聽Prior training, teaching, or instructional experience preferred


Skills and Competencies

路 聽Strong organizational and administrative skills with attention to detail

路 聽Ability to manage multiple priorities and work independently in a dynamic environment

路 聽Effective communication and interpersonal skills across staff, agencies, and the public

路 聽Ability to coordinate training and present educational material

路 聽Critical thinking and problem-solving in both operational and clinical settings

路 聽Proficiency with computer systems, scheduling platforms, and data management tools

路 聽Knowledge of EMS operations, EMR programs, and Wisconsin DHS EMS regulations (DHS 110)


Physical and Work Requirements

路 聽Ability to perform administrative and training duties in office and field environments

路 聽Ability to travel to meetings, stations, and training locations

路 聽Ability to lift and handle training equipment

路 聽Ability to perform EMS-related physical tasks when functioning in a field response capacity


Work Environment

This position operates primarily in office and training environments with regular interaction with EMS personnel, EMR agencies, and community partners. Some evening and weekend availability is required. Occasional field response may occur in emergency and prehospital environments.
