United Land Services (ULS) is a leading full-service landscaping company, providing a comprehensive range of commercial landscape installation and maintenance services. Our expertise spans landscape design, maintenance, irrigation systems, hardscapes, and outdoor lighting. We proudly serve diverse properties, from single-family home developments to condominium complexes, commercial buildings, and shopping centers.

We are currently seeking a dedicated Office Manager to oversee the day-to-day administrative operations of our branch. This role is responsible for maintaining accurate records, supporting accounts payable and accounts receivable functions, coordinating with customers and vendors, managing office processes, and providing administrative support to branch leadership. The ideal candidate is highly organized, detail-oriented, professional, and able to effectively manage multiple priorities, timelines, and deadlines in a fast-paced environment.

Responsibilities

  • Oversee daily office operations and administrative functions.

  • Manage accounts payable and accounts receivable, including invoices, payments, and account reconciliation.

  • Maintain customer, vendor, employee, and project records.

  • Enter and manage project and financial information in Aspire.

  • Communicate with customers and vendors regarding invoices, services, deliveries, and general inquiries.

  • Coordinate material pickups, deliveries, and other branch administrative needs.

  • Assist with new hire paperwork and onboarding.

  • Prepare reports, spreadsheets, correspondence, and other office documents.

  • Track deadlines and follow up on outstanding items to keep branch operations on schedule.

  • Maintain organized files and documentation.

  • Support branch management with administrative and operational needs.

  • Perform additional duties as assigned.

Qualifications

  • 2+ years of office management, administrative, or office operations experience, preferably in a blue-collar industry such as landscaping, construction, or tree service.

  • Experience with Aspire is preferred.

  • Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word.

  • Experience with accounts payable and accounts receivable responsibilities.

  • Strong organizational skills with exceptional attention to detail.

  • Ability to manage multiple tasks, priorities, timelines, and deadlines effectively.

  • Strong customer service skills with the ability to communicate professionally with customers, vendors, employees, and management.

  • Excellent verbal and written communication skills.

  • Ability to maintain confidentiality and handle sensitive company information appropriately.

  • Strong problem-solving skills and the ability to take initiative when addressing office needs.

  • Ability to work independently while also collaborating effectively with branch leadership and other departments.

  • Self-starter with a positive, professional, and proactive attitude.

Physical Requirements

This position is primarily sedentary and performed in an office environment. While performing the duties of this job, the employee is regularly required to:

  • Sit for extended periods of time while working at a desk and computer

  • Use hands and fingers to operate a computer keyboard, mouse, and standard office equipment

  • Communicate verbally and in writing with employees, clients, and vendors

  • Occasionally stand, walk, reach, bend, or lift office materials and supplies

  • Lift and/or move items up to 15–25 pounds as needed, such as files, boxes, or office supplies

  • Maintain focus and attention to detail in a fast-paced office setting
