Clatsop Behavioral Healthcare has an immediate opening for a full time Receptionist. The primary purpose of this position is to provide front line customer service, answer general inquiries in person and over the phone, check-in clients, and schedule appointments. Performs data entry, take vitals for tele-psychiatry, and run daily insurance verification reports. Perform general administrative duties including answer phones, file, copy, scan, and fax, review paperwork and collect money. This is a roving position and may require working at different locations throughout the agency. Essential Functions/Major Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Greet, welcome, direct and announce clients or visitors arrivals to appropriate staff. Answer calls, screen and forward incoming phone calls. Check in clients and status appointments daily. Follow up on messages and red verify button located on the front desk screen of the electronic medical records. Take vitals (height, weight and blood pressure), for the medical practitioners. Enforce the fee payment policy. Collect cash or credit card payments via phone or at check-in. Balance and close cash sheet each day. Schedule follow up appointments and notify clients regarding appointment changes or updates. Give appropriate opening paperwork to new clients to fill out. After reviewing paperwork for accuracy, process opening paperwork according to the new client check list. Run daily insurance verification reports (MMIS) prior to the date of check-in. Document information in the PHI disclosure log and memo to charts when necessary. Update calendars and schedule meetings. Send out letters to clients, i.e. case closures, appointment letters, attendance policy letters, etc. Make copies of forms running low (releases of information, application packets, etc.) Keep copier stocked and check fax machine throughout the day. Document and process returned mail; re-send letter (if address available). Verify clients’ identity, have them sign off prescription log if necessary, before distributing correspondence/prescriptions. Call clients, to re-engage in services following the attendance policy. Fax release of information forms to appropriate organizations. Keep work space tidy and HIPAA compliant to protect client information. Secondary Job Functions Other duties as assigned. Educat​​​​​​​​​ion/Experience Requirements: High school diploma or equivalent. Excellent interpersonal communication skills. Strong phone skills answering multi-line phones which include providing excellent customer service. Strong computer skills including accurate data entry. Ability to work well in an environment where you may be the first point of contact with someone having a mental health crisis. Must have the ability to deescalate crisis situations when needed. Ability to work independently, problem solve, communicate clients’ needs and staff needs. Perform basic Math (add, subtract, multiply and divide). Multi-Tasking experience with the ability to prioritize and balance multiple duties simultaneously while meeting performance expectations. Knowledge or ability to learn about Medicaid, Oregon Health Authority (OHA), and related State and Federal health care regulations to include Oregon Administrative Rules (OARs) and statutes. Excellent oral and written communication skills. Strong attention to detail, highly organized. Knowledge of the Health Insurance Portability and Accountability Act (HIPAA) and the importance of maintaining confidentiality. Ability to pass a criminal background check. Have and maintain an Oregon or Washington Driver’s license and meet the agency’s insurance standards.   Preferred: 1Â2 years’ experience as an administrative assistant or office specialist with public interaction and front desk reception.
