Job DetailsJob Location: Harrisburg, PA 17101Position Type: Full TimeSalary Range: $22.00 - $24.00 HourlyThe Executive Assistant provides high-level executive clerical support for the Executive Director, Finance and Human Resources Departments. Handles all Board related communications and activities. Required Performance Standards Communications:  Writes and speaks clearly, logically and concisely.  Listens effectively.  Demonstrates small and large group communication skills.  Keeps colleagues, team members and supervisors well informed.  Participates in group discussions. Customer Service:  Presents welcoming behaviors.  Remains helpful and professional with members.  Responds quickly and cooperatively to requests from staff or public.  Follows Dauphin County Library System’s (The Library) guidelines and training for customer service approach.  Demonstrates ability to determine customer's needs.  Follows up on customer transactions. Analytical Skills/Problem Solving/Decision Making:  Uses sound judgment in making decisions.  Constructively manages conflict.  Works with others to solve problems and achieve results. Technological Skills:  Demonstrates ability to use computers.  Demonstrates ability to access and use the Internet and electronic databases.  Demonstrates ability to use and maintain equipment basic to job. Environmental Conditions Primarily works indoors, seated at a desk, using a computer.   Essential Functions Provides Board related support including coordination of Board communications, updating of Board portal, recording and distributing meeting agendas, minutes, and maintaining accurate Board lists.  Provides Board Committee support for three committees including coordination of committee communications, updating of Committee portal, recording and distributing meeting agendas, minutes, and maintaining accurate files.  Manage orientation and onboarding documents for new board trustees and offboarding for departing trustees. Supports Finance Department, assisting with accounts payable, posting and filing and making revenue deposits for Finance.  Provides administrative support to the Executive Director to include calendar management and meeting preparation. Orders supply and manage office equipment. Backup to open and distribute daily mail and logs all checks received. Responds to and resolves administrative inquiries and questions. Experience: Two years’ general office experience including dealing with the public. Two years active experience using Microsoft Office Suite or equivalent, performing data entry to a relational database, and searching the Internet in a Windows environment. Required:  Maintains confidentiality of administrative matters. Ability to produce accurate, grammatically correct written communication. Excellent customer service and communication skills, ability to move 20 lbs. unassisted. Requires independent transportation for travel to libraries, programs, and outreach locations. Preferred:  Experience with cloud-based accounting and office software.
