JOB SUMMARY:

Under general direction of the Patient Registration Supervisor, greets incoming patients, enters the pertinent information into the computer and cross trains for the general outpatient registration and the emergency room registration. Exhibits the F.I.R.S.T. values (Friendliness, Innovation, Respect, Service, and Trust).

 

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:

  1. Registration of all patients in a timely, accurate and professional manner. 
  2. Making sure that all forms are signed by the patient, guarantor or the insured. 
  3. Timely distribution of necessary forms and communicates to applicable departments in a professional manner with timely admissions and transfers of patient in the computer.
  4. Handles the switchboard operation in a professional manner until the new telephone system is in place.
  5. Handles a CODE situation in a professional manner such as paging it.
  6. Job knowledge as it relates to hospital Inpatient, Observation, Surgery, Outpatient policy, insurance plans and the overall registration process.
  7. Obtain all necessary information for the efficient billing of the patient account such as: copies of insurance cards, driver’s license, advance directives and verification of insurance policy. Scanning of all documents will be handled by the HIM department except for the following items that will be done by the Registration Associate:
  8. Learn all patient classes and determine what class goes with what test or procedure.
  9. Screen self-pay patient for Indigent Care Eligibility. 
  10. Screen Hispanic patient that does not have any insurance. Give them the paper instructing then where to go. If it is an emergency we will register as Self Pay and it will be that patient’s responsibility to go to the Blue Grass Community Action partnership for assistance.
  11. Collection of all Co-pay’s and Deductibles for the Emergency room, Inpatient and Outpatients admissions or Surgeries.
  12. Check your work throughout the day for any errors and make corrections as needed.
  13. Check with the nurse’s station for all dismissals by 11pm. 
  14. Position consists of working all shifts, some weekends, holidays, covering shift from call in and overtime as needed and other duties that relates to the registration department.
  15. Pre-registers, organizes, and distributes all needed information and materials (for admissions).
  16. Monitors orders received through fax system to properly distribute (non-scheduled vs. scheduled vs. not Ephraim and needed to be sent elsewhere).
  17. Maintains a working knowledge of all insurance, managed care, third part, and governmental insurance plans. 
  18. Must be able to work independently and deal with stressful situation when registering and verifying information with patients. 
  19. Able to review and analyze patient estimates for explanation to patient or to catch any errors produced.

WORKING CONDITIONS, HAZARDS AND PHYSICAL EFFORT:

Works in a well lighted, ventilated and air conditioned area. There’s exposure to unpleasant odors, sights, and sounds, diseases, infection, physical strain, and assault, blood, body fluids and tissue. Long periods in stationary positions and moving around the units are required. Must be able to move or position 30 lbs.

 

CONTACTS WITH OTHERS:

Patients, family members and significant others, physicians and Associates, other healthcare providers, community resource personnel, administrative staff, and hospital support services.  Must be able to use professionalism and diplomacy in dealing with individuals when explaining processes, procedures, and clarifying information.

 

EQUIPMENT USED/SPECIAL SKILLS REQUIRED:

Ability to use the computer, keyboard and use general office equipment including phone, fax and scanners. Ability to use Microsoft Internet, Microsoft Office Programs (Word, Excel and PowerPoint).

Qualifications

Zero to two (0-2) years previous related Registration experience with knowledge of insurance and medical terminology preferred.  Excellent interpersonal and communication skills (oral and written) excellent customer service and service recovery skills, and computer experience.  Flexibility to respond to changing priorities and interruptions.
