The Opportunity

MassMutual’s Operations Business is looking for a highly self-motivated and experienced Executive Liaison. This position will provide administrative and program/project-related support to the Head of Operations Insights & Performance Optimization within MassMutual Operations and their direct reports. This position requires someone who enjoys working in a fast-paced environment, is comfortable taking on complex administrative tasks, enjoys collaborating with others, and can regularly handle highly confidential and time-sensitive information with care and prioritization.

The Impact

This is a multi-faceted role in which the Executive Liaison will take initiative and operate autonomously, utilizing a proactive approach to anticipate and fulfill the administrative needs of the Head of Operations Insights & Performance Optimization and their leaders, while coordinating across the team of Operations assistants to deliver a consistent approach to operations. This role will involve coordinating, planning, reporting, and communicating, as well as managing and maintaining calendar activity, coordinating travel, and responding to information requests. Responsibilities include coordinating meetings and conferences with both internal and external sources, compiling information from various sources for routine inquiries and reports, analyzing data, and preparing regularly scheduled reports. The liaison will also provide backup support to other Executive Liaison professionals as needed.

Key Responsibilities Include (but are not limited to):

  • Calendar management for the Head of Operations Insights & Performance Optimization and their direct reports: accept/decline requests, develop intimate knowledge of meeting priorities to make decisions on behalf of the leader, and proactively resolve conflicts.

  • Prepare and submit invoices/expenses.

  • Schedule meetings, conferences, and events; interface with the executive support team and/or Event Planning Team to coordinate schedules, create registrations and communications, reserve conference rooms, order catering, and prepare materials.

  • Prepare meeting agendas, coordinate meetings, and take minutes as needed, including circulating action items for follow-up.

  • Finalize high-level materials—review, edit, and format semi-final drafts (e.g., communications, letters, PowerPoint slides, Excel exhibits) to produce polished deliverables.

  • Provide program/project-related support.

  • Proactively identify and execute communication needs across the department.

  • Participate in organizational change and talent discussions with Management and HR.

  • Partner with Recruiters, Facilities, IT, Management, and HR Consultants to ensure seamless onboarding of new hires.

  • Assist with preparation of monthly Business Review Meeting materials and quarterly All Employee Meetings.

  • Schedule travel arrangements and manage travel expenses for the Leadership Team.

  • Serve as OER Coordinator for environmental and technical emergency planning; NET liaison for monthly Operations newsletter; eCornell coordinator; and Unit Information Coordinator/Records Retention representative for the department.

Minimum Qualifications

  • High school diploma or equivalent.

  • 7+ years of progressive experience providing high-level administrative support in roles such as Executive Assistant, Chief of Staff, Office Manager, or similar positions involving executive-level coordination and/or stakeholder engagement.

  • 4+ years’ experience working with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, Zoom, and/or Slack.

  • Ability to travel interchangeably between Boston, MA and Springfield, MA as needed.

Ideal Qualifications

  • At least 2+ years’ experience in the Financial Services Industry.

  • Experience working collaboratively with internal and external partners to achieve results.

  • Proficient working knowledge of Ariba and Concur system applications.

  • Knowledge of Lean Management (Huddle Boards, Operational Metrics, etc.).

  • Ability to leverage additional technology such as Workday, ServiceNow, xMatters, and Archer.

  • Ability to complete a high volume of work with limited direction and oversight.
