Job DetailsJob Location: Hattiesburg - Hattiesburg, MS 39401Job Summary:  Under the supervision of the Assistant Dean and Chair of Education Leadership, the Administrative Assistant and Student Support Specialist provides administrative and office support for the College of Education, assisting the Assistant Dean and Chair of Educational Leadership with daily operations. Responsibilities include managing communications, coordinating schedules, preparing documents and reports, maintaining records, and serving as a resource for students, faculty, staff, and visitors. Duties and Responsibilities This job description does not state or imply that these are the only duties to be performed by the employee occupying this position.  Duties and responsibilities listed are essential job functions and exclude functions which are incidental to the performance of fundamental job duties. Assist the university in implementing the statement of Purpose Assist the university in implementing long-range institutional and financial plans Answer incoming telephone calls, identify the nature of inquiries, and direct callers to the appropriate department or personnel. Greet and assist visitors while monitoring and managing visitor access to ensure a welcoming and secure environment. Schedule events using the University events process. (assessment training, orientation sessions, and education advisory meetings) Collaborate with graduate admissions office to assist with the student admissions process. Contact students on applicant lists from admissions to assist with enrollment to the university. Assist students with the registration processes, providing guidance and troubleshooting support. Assist the Field Placement Coordinator in ensuring educational leadership candidates will meet licensure requirements (assessments, coursework, internship hours.) by monitoring candidate progression. Prepare reports and proposals and respond to inquiries from students and local school districts Perform other job-related duties as assigned. QualificationsRequired Qualifications Completion of a high school diploma. Five years’ experience in an administrative assistant office position or comparable experience Ability to use common office productivity software, including Microsoft Office suite (Word, Excel, and Outlook). Ability to use student database software, Mach forms. Ability to communicate effectively, both verbal and written. Must have excellent interpersonal and organizational skills. Must always present a professional and respectful manner when dealing with a variety of situations and people. Ability to solve practical problems and deal with a variety of situations and people Ability to respect and adhere to the strict confidentiality requirements of the College of Education Ability to multi-task and work in a fast-paced environment Preferred Qualifications Bachelor’s Degree Administrative experience working in Education (K-12 or Higher Education) Physical Demands Must possess mobility to work in a standard office setting, and to use standard office equipment including a computer Must have vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone Must have the ability to sit or stand for extended periods of time Must have strength and agility to move files and minor office equipment Must have mobility to run errands to other offices and collect mail from post office Must be able to work required schedule in an on-campus setting
