About the Role and about You:
The Training Administrator will be based in Hawthorne, CA. The incumbent of this role is responsible for coordinating all crewmember training activities and maintaining accurate, audit-ready training records in compliance with FAA Part 135 regulations and the company’s Operations Specifications (OpSpecs). This role serves as the administrative backbone of the Training Department and plays a direct part in supporting safe, compliant flight operations.

What you will do:
- Assist with scheduling and coordinating initial, recurrent, and upgrade training for pilots, flight attendants, and other crewmembers in accordance with FAA Part 135 requirements and company OpSpecs.
- Assist in coordination with training vendors, simulators, and FAA-approved training centers to confirm availability, reservations, and course completion documentation.
- Help with tracking upcoming training due dates and proactively notify crewmembers and department leadership of approaching deadlines.
- Assist with maintaining the training calendar and communicate scheduling changes in a timely and accurate manner.
- Support onboarding of new crewmembers by ensuring all required pre-employment and initial training is scheduled and completed prior to line flying.
- Create, maintain, and audit crewmember training records in the company’s records management system, ensuring accuracy and completeness at all times.
- Process and file training completion certificates, check ride results, medical certificates, and other required documentation per FAA Part 135 recordkeeping requirements.
- Ensure all training records are accessible and audit-ready for internal audits, Principal Operations inspections, and Air Transportation System evaluations.
- Coordinate with the Director of Training and Chief Pilot to identify and resolve any discrepancies or gaps in training records.
- Collaborate with Crew Scheduling, Logistics, HR, and Compliance teams to ensure training currency is accurately reflected in crew management systems.
- Prepare training compliance reports and summaries for leadership and assist with preparation for FAA surveillance activities and internal safety audits.
- Assist with and support pilot candidate interviews (simulator evaluations) as needed.
- Assist with the development and distribution of training materials, bulletins, and notices as directed by the Director of Training.
What we are looking for:
- Must have authorization to work in the U.S.
- Must have valid CA Driver’s license and clean driving record
- Proficiency with Microsoft Office products including Outlook, Word, and Excel; experience with aviation records or crew management software (e.g., jetinsight) a plus
- Excellent communication, organizational, and problem-solving skills with exceptional attention to detail
- Ability to manage multiple priorities simultaneously and work efficiently under time constraints in a fast-paced environment
- Familiarity with FAA Part 135 regulations and aviation training requirements is strongly preferred
- Minimum 1–2 years of experience in an administrative, records management, or coordination role; aviation industry experience strongly preferred
- High School diploma or GED equivalent required; associate’s or bachelor’s degree in Aviation, Business Administration, or related field preferred
- FAA pilot certification (airplane category) preferred; active FAA commercial pilot certification (airplane category) or higher strongly preferred.
- Active FAA Flight Instructor Certificate - nice to have
