From One’s Own Abundance.  Position Details: Salary Range: $90,000 - $95,000 annually  Full-Time, Exempt  On-site in Hayward, CA  Position Overview The HR Manager plays an important role in the day-to-day operations of the Human Resources department, supporting employees and department managers while helping ensure HR processes are accurate, consistent, and compliant. This position works across a variety of HR functions, including HRIS and data management, employee relations, leave and benefits administration, compliance, policy and procedure development, and employee training.  Job Responsibilities HR Operations & Process Management Manages the day-to-day administration of assigned HR operations and processes, ensuring timely, accurate, and consistent service. Maintains HR procedures, workflows, and documentation and identifies opportunities to improve efficiency and consistency. Serves as a resource to HR staff and department managers regarding HR processes, policies, and procedures. Coordinates and tracks assigned HR projects and initiatives and provides updates to the Director of Human Resources. HRIS & Data Integrity Serves as a primary HRIS (Paycom) resource and ensures employee and organizational data is accurate and up to date. Conducts periodic audits of HRIS data and identifies and resolves discrepancies or data integrity issues. Ensures HR transactions and employee records are processed accurately and timely. Develops and maintains routine HR reports and provides data to support HR operations, compliance, and management needs. Works with Paycom and other vendors as needed to resolve system issues and improve HR processes. HR Compliance Monitors assigned HR compliance requirements and ensures required documentation, notices, reporting, and training are completed timely. Maintains compliance records and supports HR audits and regulatory reviews. Monitors changes in employment laws and regulations and assists with updates to HR policies and procedures. Identifies potential compliance concerns and escalates issues to the Director of Human Resources as appropriate. Supports the implementation and administration of HR policies and practices in accordance with applicable federal, state, and local requirements. Leave Management Manages the administration and tracking of employee leaves of absence, including FMLA, state leaves, personal leaves, and other applicable leave programs. Ensures leave documentation, communications, and records are accurate and maintained in accordance with applicable requirements. Coordinates with employees, managers, benefits providers, and external agencies as needed. Monitors leave balances and related HRIS information and ensures appropriate updates are made. Escalates complex or sensitive leave matters to the Director of Human Resources as appropriate. Benefits Administration Supports the day-to-day administration of employee benefit programs and serves as a resource to employees regarding benefit questions and processes. Coordinates benefit enrollments, changes, qualifying life events, and other benefit transactions. Partners with benefits vendors and brokers to resolve employee issues and ensure accurate administration. Maintains accurate benefit information in Paycom and supports benefit audits and reporting. Assists with annual Open Enrollment and other benefits-related projects. Employee Relations Provides guidance to department managers and employees regarding HR policies, workplace concerns, performance matters, and employee relations issues. Supports the Director of Human Resources with employee relations matters, investigations, corrective action, and performance management. Assists managers with appropriate documentation and application of HR policies and procedures. Maintains accurate and confidential employee relations records. Escalates complex, sensitive, or high-risk matters to the Director of Human Resources. Adjunct Faculty Contracts & Administration Coordinates the quarterly adjunct faculty contract and offer letter process, ensuring timely and accurate completion. Maintains appropriate documentation and ensures adjunct faculty information is accurately reflected in the HRIS. Coordinates with academic leadership and HR staff to resolve discrepancies and incomplete information. Maintains established timelines and procedures for the adjunct faculty process and recommends improvements as needed. HR Policies, Procedures & Training Assists with the development, review, and implementation of HR policies, procedures, forms, and workflows. Develops and maintains HR procedures and supporting resources to promote consistent application of HR policies. Assists with communicating policy and process changes to employees and managers. Coordinates and delivers HR training related to policies, procedures, compliance, employee relations, and workplace practices. Tracks required training and maintains appropriate completion records and reporting. Onboarding & Employee Lifecycle Supports consistent and compliant onboarding and offboarding processes for faculty, staff, and work-study employees. Ensures required HR documentation, HRIS updates, and onboarding requirements are completed accurately and timely. Coordinates with managers and new employees to address onboarding needs and resolve issues. Identifies opportunities to improve employee lifecycle processes and the employee experience. Other HR Responsibilities Participates in HR projects, audits, policy reviews, investigations, performance management, and other departmental initiatives as assigned. Maintains confidentiality and exercises sound judgment when handling sensitive employee and organizational information. Performs other duties consistent with the scope and level of the position as assigned by the Director of Human Resources. Qualifications Bachelor’s degree in Human Resources, Business Administration, or related field. 5+ years of progressive experience in HR, including experience managing HR operations or project coordination. Solid knowledge of federal and state labor laws, employment regulations, and HR best practices. Demonstrated experience handling employee relations matters and advising managers. Experience designing or delivering training programs or staff development workshops. Strong organizational skills and attention to detail with the ability to manage multiple priorities. Excellent interpersonal, written, and verbal communication skills. Ability to maintain discretion and confidentiality. Proficient with Microsoft suite and G-Suite drive/ tools. Preferred Qualifications HR certification (e.g., SHRM-CP, PHR) strongly preferred. Experience in higher education, non profit, or a mission-driven environment. Proficiency with Paycom or other HRIS systems.
