Position Summary:

The Patient Access Scheduler – Rehabilitation plays a key role in ensuring patient access to skilled therapy services. This position coordinates directly with department leadership, therapists, clinical staff, patients, and physician offices to facilitate timely authorization, registration, and scheduling of therapy appointments.

Responsibilities include determining patient acuity and specialty therapy needs based on referral information, triaging referrals to assign the appropriate therapist and location, and providing patients with essential pre-visit instructions. The Scheduler also supports therapist productivity and department efficiency by minimizing schedule gaps.

This role serves as a professional representative of the rehabilitation department and St. Peter’s Health, helping create a positive patient experience and successful outcomes.


Key Responsibilities:

  • Review therapy referrals and determine necessary information for authorization, registration, and scheduling.

  • Evaluate patient acuity and therapy specialty requirements using diagnosis and consultation details.

  • Triage referrals to assign appropriate therapist and therapy location.

  • Provide patients with clear information regarding visit preparation, directions, arrival times, and payment expectations.

  • Communicate across departments to maintain strong provider relationships and ensure ongoing referrals.

  • Accurately use electronic healthcare systems for scheduling and documentation.

  • Maintain system competency related to registration, scheduling, and authorization.

  • Monitor and manage therapy schedules to optimize productivity and reduce unfilled appointment slots.

  • Support departmental goals and safety standards through additional assigned tasks

Qualifications:

Experience:

  • 1–2 years of experience in hospital admissions or a physician’s office preferred

  • 1+ years of professional work experience required

  • Customer service or scheduling experience in a healthcare setting highly preferred

  • Familiarity with medical terminology preferred

Education:

  • High school diploma, HiSET, or GED required

  • Some college coursework preferred
