Full-Service Long Island Law Firm Seeks Full-Time Legal Secretary

Prestigious, full-service Long Island law firm seeks a full-time Legal Secretary for its Land Use and Zoning Department to work directly with senior attorneys and professional staff in a collegial, team-oriented environment.

The ideal candidate is a highly organized, detail-oriented self-starter who thrives in a fast-paced yet collaborative and collegial setting. The ability to independently manage schedules, anticipate needs, stay ahead of deadlines, and see matters through to completion is essential.

Responsibilities will include:

ā— Providing high-level administrative and secretarial support to a team of attorneys

ā— Preparing and filing land use and zoning applications through various municipal and agency portals

ā— Managing appointment calendars, scheduling and coordinating meetings and conference calls

ā— Monitoring deadlines and maintaining accurate, well-organized files and records

ā— Communicating professionally with clients, municipalities, consultants, and other professionals

ā— Handling phones, correspondence, and general office responsibilities

ā— Transcription and preparation of correspondence and other legal documents

ā— Assisting attorneys with application preparation, submissions, and follow-up

ā— Proactively tracking outstanding items to ensure deadlines and commitments are consistently met

Requirements: Strong proficiency in Microsoft Word and transcription skills are required. Excellent written and verbal communication skills, exceptional attention to detail, professionalism, and the ability to prioritize and work independently are essential. The successful candidate must be prompt, dependable, organized, and able to take initiative with minimal supervision while contributing positively to a collegial office culture.
