The Office Receptionist is the first face clients and guests encounter when visiting our Asheville location. This is a high-visibility, relationship-forward role that requires professionalism, warmth, and exceptional organizational instincts. You will support multiple advisors operating from the Asheville office, serve as a key operational anchor for the space, and provide administrative and communications support to our Executive Assistant and Marketing Director.
The Office Receptionist reports to and is employed by Trailhead Financial Group.
Travel & Secondary Location: Complete a mandatory 6-week in-person training program at the Hendersonville, NC office prior to full deployment . Hendersonville office serves as an ongoing secondary work location, but will work out of both Ashville and Hendersonville locations. Occasional travel may be required to support executive operations, attend conferences, or participate in firm-sponsored eventsÂ
Compensation for this role is $18-22/hr dependent upon experience. PTO provided. No medical or dental benefits.

Client & Guest ServicesÂ
Serve as the primary point of welcome for all clients and visitors to the Asheville officeÂ
Greet and direct clients for multiple advisors in a professional, warm mannerÂ
Represent Trailhead Financial Group as one of the recognizable faces of the organization at events and in the officeÂ

Office OperationsÂ
Manage daily opening and closing procedures for the Asheville officeÂ
Maintain the overall appearance, organization, and readiness of the shared office spaceÂ
Monitor advisor schedules and calendars — proactively flag conflicts, gaps, or scheduling concerns to leadership (scheduling decisions remain with the advisor team)Â

Communications & Administrative SupportÂ
Answer and professionally route all inbound callsÂ
Make outbound calls as directed by the advisor team or executive assistantÂ
Receive, sort, and distribute incoming mailÂ
Scan and digitally file documents with accuracy and attention to detailÂ
Draft, format, and send emails on behalf of the team as requestedÂ
Â
Executive & Marketing SupportÂ
Support Executive Assistant with administrative tasks and serve as coverage during her absenceÂ
Assist Marketing Director with social media posting and content coordination as neededÂ
Represent TFG at select company events and client-facing functionsÂ

Position Qualifications
Exceptional interpersonal and communication skills — both written and verbalÂ
Professional, polished appearance and demeanor consistent with a client-facing financial services environmentÂ
Strong organizational skills with the ability to manage multiple priorities simultaneouslyÂ
Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and general comfort with technologyÂ
Reliable, punctual, and detail-oriented with a proactive approach to problem-solvingÂ
Prior experience in a receptionist, front-desk, or administrative support roleÂ
Familiarity with financial services, wealth management, or professional services environments (preferred)
Experience with calendar management tools and CRM platforms (preferred)
Social media literacy (LinkedIn, Facebook, Instagram) for light content posting support (preffred)
Notary Public preferred (or willing to obtain in first 90-days of employment)Â
