The High Point University Coordinator of University Events plans and implements University events and some aspects of other events assigned by the Vice President for University Events. This position assists the Vice President for University Events in planning and implementing major University events.

QUALIFICATIONS:

Education

  • Bachelor’s degree required

Experience and Training

  • A minimum of two years of related experience, an equivalent combination of education and experience.

ESSENTIAL FUNCTIONS:  

  • Oversees planning and event execution for the High Point University Cultural Enrichment Program, including but not limited to concerts, guest speakers, theatre events, and choral events.
  • Member of the Cultural Enrichment Committee
  • Plans, implements and directs special University conferences, symposia, and other events that may be initiated by other departments
  • Assists in planning, implementing and directing University events including donor lunch and dinner events, special events for the office of the President, summer programs, and community events
  • Assists with planning and implementing major University events such as Commencement, opening Convocation, Family weekends, dinners, donor lunches, cultural events, special events for the office of the President, groundbreakings, dedications, board of trustee meetings, etc.
  • Administration responsibilities including but not limited to invoicing, billing, maintaining budgets, ordering supplies and executing vendor contracts.
  • Works closely with staff of the President’s Office, Institutional Advancement, Student Life and other appropriate offices to plan, coordinate and implement such events
  • Assesses, analyzes, monitors and evaluates all University events to assure that objectives are met and to provide a continual means of improvement and enhancement
  • Handles multiple projects simultaneously; manages in the midst of occasional changing dynamics (time, location, people, etc.); effectively communicates and interacts with high profile individuals (administration, trustees, donors, university guests, VIPs, etc.)
  • Supervises Campus Enhancement team to schedule event setups and breakdowns, and other maintenance/housekeeping issues
  • Supervises the Hospitality Team to order all food requests and day of food service execution.
  • Supervises HPU Police, Security and Transportation on directional support, parking and transportation requests and day of execution
  • Supervises student workers and event volunteers. This includes hiring, disciplining, scheduling, training, assigning work and ensuring completion of assigned responsibilities
  • Maintains a positive work atmosphere by acting and communicating effectively with students, students’ parents, faculty, co-workers and managers
  • Maintains a professional image by following dress code
  • Other duties as assigned

ACCOUNTABILITY:

  • Manages university events within the University’s budgetary requirements
  • Negotiates vendor contracts
  • Supervises student workers and event volunteers
