Position Summary
The IT Budget Analyst is responsible for the financial governance of the IT organization, with a focus on vendor management, budget tracking, operational and capital expenditure monitoring, and yearâtoâdate (YTD) financial projections. This role partners closely with IT leadership, procurement, finance, and project managers to ensure IT spending aligns with budget expectations and supports strategic initiatives.
Key Responsibilities
1. IT Budget Management & Forecasting
- Maintain and monitor IT OpEx and CapEx budgets, ensuring accuracy of financial data and alignment with organizational plans.
- Track monthly spend vs. budget, analyze variances, and prepare YTD and fullâyear projections.
- Support annual budgeting and reforecasting cycles by partnering with IT budget owners to review priorâyear spending, validate requests, and prepare future runârate assumptions.
- Consolidate spending data and provide clear reporting to IT leadership, governance bodies, and finance teams.
2. Vendor & Contract Management
- Maintain oversight of IT vendor portfolio, ensuring contracts, renewals, and pricing align with IT and corporate procurement policies.
- Track contract renewal schedules and coordinate with legal, sourcing, and IT stakeholders to support renegotiations and timely renewals.
- Analyze vendor spend trends, identify optimization opportunities, and support vendor consolidation or costâsaving initiatives.
3. Purchase Order (PO) & Invoice Management â NEW
- Create, manage, and track purchase orders to ensure alignment with approved budgets.
- Validate invoices against POs, contracts, and delivery confirmations to ensure accuracy before approval.
- Resolve invoicing discrepancies by coordinating with vendors, procurement, and accounts payable.
- Monitor PO status and aging to ensure timely processing and prevent unpaid or overdue items.
- Support Finance with accurate accruals.
4. Capital Project Financial Tracking
- Track all IT capital spending for infrastructure, application, and cybersecurity projects.
- Validate project budget requests, ensuring alignment with corporate CapEx policies.
- Monitor actual project costs vs. approved budgets, providing variance reports and updated spend forecasts.
- Partner with project managers to validate financial milestones and ensure accurate capitalization of qualifying expenses.
5. Financial Reporting & Analysis
- Prepare routine dashboards and financial summaries for IT leadership, steering committees, and governance forums.
- Analyze spending anomalies or trends that require investigation and partner with stakeholders to resolve issues.
- Ensure IT financial data quality, including category allocation, GL coding, and vendor classification.
6. Process Governance & Continuous Improvement
- Help maintain standardized processes for IT budget development, tracking, and vendor management.
- Recommend improvements to financial controls, documentation, and reporting.
- Support internal and external audits related to IT financials or vendor governance.
