We are looking for an organized, proactive, and dependable Administrative Assistant to help keep our office and day-to-day operations running smoothly. This role combines general office administration with light executive support and is a great opportunity for someone with 1–3 years of administrative experience who enjoys staying organized, helping others, and taking ownership of the details. 

The ideal candidate is resourceful, professional, and comfortable managing multiple priorities in a fast-paced environment. You’ll work across teams, support office needs, and provide occasional administrative assistance to members of the leadership team.  

Key Accountabilities: 

  • Help manage day-to-day office operations and maintain an organized, welcoming workplace.
  • Coordinate office supplies, equipment, vendors, deliveries, and other workplace needs.
  • Serve as a point of contact for general office questions and administrative requests.
  • Assist with planning and coordinating team meetings, office events, lunches, and other employee activities.
  • Welcome visitors and help coordinate onsite meetings as needed.
  • Maintain shared calendars, files, documents, and administrative records.
  • Assist with basic expense tracking, invoice coordination, and purchasing.
  • Identify opportunities to improve administrative processes and keep things running efficiently.
  • Provide general administrative support across the organization as needed.
  • Provide light administrative support to executives and members of the leadership team.
  • Assist with calendar management, meeting scheduling, and coordination.
  • Coordinate occasional travel arrangements and itineraries.
  • Assist with expense reports and other routine administrative tasks.
  • Handle sensitive or confidential information with professionalism and discretion.
  • Help with special projects and ad hoc requests as needed.  

Desired Skills and Experience:

  • 1–3 years of experience in an administrative assistant, office coordinator, executive assistant, or similar role.  
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and follow through on tasks with minimal oversight.
  • Strong written and verbal communication skills.
  • Professional, approachable, and service-oriented.
  • Comfortable interacting with employees at all levels of an organization.
  • Good judgment and discretion when handling confidential information.
  • Proficiency with Microsoft Office.
  • Comfortable learning new systems and processes.
  • A proactive mindset—you notice what needs to be done and are willing to jump in and help.  

 

 

Base Salary Range
$55,000—$65,000 USD
