Summary of Position: The position of the Special Events Coordinator is a supervisory role that will manage the staffing of events, implement the Special Event Policy Manual, review and execute Traffic Sheets, confirm room setups, greet event guests upon arrival, confirm head counts, process changes if possible and finalize the event for signature and payment. This position is the first priority for scheduling restaurant shifts when there are no events, as well as doing some part time office work on traffic sheets to fill up non-event weeks. During the event, this individual provides trained service as an event server and must be physically present during events (with supervisor backup). This position must be flexible with regard to hours and scheduled days during the week.  

Essential Functions as Special Events Coordinator: 

  1. Assist the Sales Department in preparing for and executing all special events.
  2. Act as the central point of contact for Land’s End with the Special Event host.
  3. Act as liaison between the staff and event organizer.
  4. Contact customers in advance of the event for confirmation of menu, head counts, group block requirements and deposits. Enter payment dates and room drops dates in Outlook calendar.
  5. Enter final event information into Mobile Bytes (POS).
  6. Assist Department Head with apportioning of gratuities and room fees. 
  7. Process final payments and close out each group.
  8. Enter contract payment dates and room drops dates in Outlook calendar.

Required Knowledge, Skills, and Abilities: 

  1. Must be able to fulfill the job description of Server.
  2. Must be able to supervise staff; execute to a high standard. 
  3. Ability to lead and inspire others in the pursuit of superior customer service. 
  4. Proficiency with basic math, with computers and POS systems, and coffee making equipment.
  5. Ability to lift 30lbs, bend, squat, twist and stand for 6-8 hours in a day.
  6. Ability to write and speak clear English, and to communicate and coordinate well with others.
