The Role

The Associate Manager, Facilities is responsible for real estate and facilities-related activity for the Company office location(s) in their region. This person will collaborate with employees at all levels to implement corporate real estate strategy and ensure each facility operates efficiently and cost-effectively. This individual will create and monitor budgets, negotiate leases and renewals, develop, and enforce facility policies, evaluate vendor services, and contracts, and manage the productivity and professional development of facilities personnel.

Your Impact

The Associate Manager, Facilities will report to the Sr Director, Finance and will be based in our Houston, TX office, with responsibility for leading the Houston Facilities team as well as the Mexico City Facilities team.

  • Demonstrate a customer first mindset when interacting with all stakeholders, both internal and external to the company.
  • Interface with and manage relationships with landlords, brokers, property managers, real estate contractors, and facilities vendors/suppliers.
  • Develop departmental budget and monitor expenses.
  • Approve payment of all real estate and facilities vendor invoices in region.
  • Anticipate long-range facility needs by partnering with HR and Business leads to determine space requirements, projected growth, and to determine optimal physical layouts for office space, equipment, and furniture.
  • Oversee the maintenance of company facilities and equipment.
  • Assign, schedule, and manage facility moves, dispositions, and dilapidations.  
  • Work with finance partners to ensure accurate accounting and reporting of all real estate obligations, invoicing, and payment terms.
  • Maintain facility access control systems and ensure physical security and all real estate-related policies and procedures are adhered to.
  • Ensure that emergency preparedness, health safety regulations, and standard evacuation plans are accurate and up to date at all facilities within region.
  • Work with the Sr Director, Finance on CapEx projects, construction within current facilities, design, and development.
  • Work with real estate advisors (brokers) to achieve successful negotiations on new leases and lease renewals.
  • Develop, draft, and negotiate contracts per organization policies and procedures.  Develop strategies and tactics to negotiate and secure the best contract terms effectively.

What You'll Need

  • HS diploma or GED required.
  • 5 plus years of related experience, including at least two years of people management experience.
  • Ability to read and understand the business terms of an office lease.
  • Analytical, problem solving and decision-making skills with the ability to adapt quickly to change.
  • Proven ability to organize, prioritize, and offer creative solutions in a fast-paced environment.
  • Excellent verbal and written communication ability with the interpersonal skills necessary for building and maintaining business relationships.
  • Exposure to the methods, materials, tools, and equipment used in basic building maintenance such as HVAC, plumbing, and cleaning.
  • Proficient with Microsoft Office; MS Word, Excel, and PowerPoint. Smartsheet, Visual Lease, or similar.
  • Some travel may be necessary
  • Previous experience with AutoCAD or other CAFM software is an asset.
