POSITION SUMMARY:

The Administrative Associate is responsible for working directly with department or team in performing administrative duties as assigned. It is the responsibility of the Administrative Associate to maintain and promotes overall office efficiency.

It is also the responsibility of Administrative Associate not only to exhibit legendary customer service when communicating with colleagues, clients, owners, and vendors but also to focus on productivity and results.

POSITION ESSENTIAL FUNCTIONS:

  • Accounts Receivable and Cash Receipts

  • Prepare weekly accounts-receivable reports for review.

  • Assist with tenant balance research and payment follow-up.

    Draft past-due reminders and default letters using approved templates.

  • Track all projects and budgets to meet deadlines.

  • Assist with research and other various related duties.   

  • Assures appropriate resources are available for staff to be successful in their role.

  • Additional assignments as assigned.

POSITION REQUIREMENTS:

  • High school diploma or GED equivalent.

  • Some college and/or Associate degree preferred.

  • A minimum of 0-2 years of administrative experience, in commercial real estate a plus.

  • Proficiency with Microsoft Word, Teams, Excel, PowerPoint, Adobe Acrobat, and Outlook.

  • Strong background in AP/AR

  • Experience with MRI, Yardi, P2P, or similar property-management and accounting systems is preferred.

  • Flexible attitude, solution-focused and proven analytical and problem-solving abilities.

  • A strong desire to tackle new projects to assist a high performing team.

  • Excellent interpersonal skills - effective verbal and written communication skills.

  • Resourceful approach to effectively managing workloads to meet deadlines, while delivering high-quality work in a fast-paced environment.

  • Strong attention to detail - excellent proofreading and editing skills.

  • Ability to maintain discretion regarding personnel and industry-related matters.

  • A strong work ethic and sense of responsibility, reliability, and responsiveness.

  • Uses a computer in conjunction with various software packages the majority of the day.

  • Uses office equipment (copiers, binders, phone system, etc.)

  • Uses audio-visual equipment.
