Position Summary

The IT Operations Coordinator serves as the central coordination point for day-to-day IT operations, helping ensure clear communication, timely follow through, and efficient support delivery across Apave America. 


The role works across IT Support, Infrastructure, Cybersecurity, project teams, vendors, and business departments to remove roadblocks and keep operational work moving. Technical knowledge is beneficial, but success is driven primarily by communication, organization, prioritization, and consistent follow-through. 

 

Key Responsibilities 


Operational Coordination 

Coordinate day-to-day activities across IT Support, Infrastructure, Cybersecurity, and project teams. 

Assist with scheduling and prioritizing outstanding work and operational initiatives. 

Help ensure support requests, tasks, and projects continue progressing and do not become stalled. 

Identify operational obstacles and coordinate with internal teams, vendors, and management to help resolve them. 


Communication and Collaboration 

Serve as a primary communication resource for the IT department. 

Coordinate communications between departments so impacted teams are informed of changes, projects, and initiatives. 

Follow up on pending requests, unresolved issues, and outstanding actions to maintain momentum and accountability. 

Collaborate with vendors and third-party service providers to support ongoing projects. 


Asset and Inventory Oversight 

Oversee incoming IT equipment and inventory processes, ensuring assigned team members complete the required receiving, tagging, tracking, and system updates. 

Monitor inventory levels and coordinate replenishment activities when necessary. 

Coordinate the recovery and tracking of company-issued equipment from employees and field personnel. 


IT Service Management 

Participate in ticket review discussions and support ongoing service delivery processes. 

Assist IT leadership in reviewing support performance, identifying trends, and ensuring follow-up actions are completed. 

Help improve workflows, communication processes, and operational procedures. 


Administrative and Office Responsibilities 

Assist management with timesheet review, attendance verification, and related administrative processes. 

Support organization, cleanliness, and maintenance of shared IT workspaces. 

Coordinate administrative tasks that support efficient IT department operations. 


Process Improvement and Project Support 

Identify opportunities to improve operational workflows and support processes. 

Document recommendations and elevate issues affecting efficiency, service quality, or user experience. 

Assist with coordination and communication activities for IT projects and business initiatives. 


Field Exposure and Business Familiarization 

Periodically visit operational locations and project sites to gain familiarity with business processes and field operations. 

Develop an understanding of how field teams use technology and identify opportunities for operational improvement. 

 

Qualifications 

Required 

Exceptional verbal and written communication skills. 

Strong organizational and time-management capabilities. 

Proven ability to coordinate multiple activities simultaneously. 

Customer-service mindset with a focus on responsiveness and follow-through. 

Ability to build positive working relationships across all levels of the organization. 

Self-motivated and capable of working independently. 

Light Travel within United States.


Preferred 

Experience in project coordination, operations coordination, team leadership, or office administration. 

Experience working in an IT, technical support, or technology-focused environment. 

Knowledge of IT asset management and IT service management processes. 

Familiarity with Microsoft 365 and common business applications.
