Assist in the preparation and formatting of proposals, including organizing content, proofreading, and editing to ensure accuracy and consistency. Coordinate with internal teams to gather necessary information and materials for inclusion in proposals, such as project descriptions, resumes, and financial data. Maintain proposal templates, boilerplate content, and other resources to facilitate efficient proposal development. Manage the proposal schedule/calendar to ensure deadlines are met and submissions are completed in a timely manner. Support the proposal review process by distributing proposal drafts, collecting feedback, and incorporating revisions as needed. Assist with the assembly and packaging of proposal documents for submission, including printing, binding, and mailing or electronic delivery. Track proposal activity and outcomes, maintaining records of proposal submissions, wins, losses, and lessons learned for continuous improvement. Provide general administrative support to the Proposals team, including organizing meetings, managing calendars, and handling correspondence. Assist with special projects and initiatives related to proposal development and business development as assigned by the Proposal Manager or other team members. Ensure compliance with company policies, procedures, and standards for proposal development and submission.

 

Proven experience as an administrative assistant or similar role, preferably in a proposals or business development environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and familiarity with proposal management software/tools. Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment. Excellent written and verbal communication skills, with a keen eye for detail and accuracy. Ability to work effectively both independently and as part of a team, collaborating with colleagues across departments. Proactive attitude and willingness to take initiative to support proposal development objectives. A bachelor's degree in business administration, marketing, communications, or a related field is preferred but not required.
