What Your Day Will Look Like:

As a Contracts Coordinator supporting TxDOT projects, you will play a critical role in the preparation, review, execution, and administration of contracts, work authorizations, amendments, and procurement-related documents. Working closely with project managers, technical staff, clients, subconsultants, and corporate teams, you will help ensure compliance with TxDOT requirements, contractual obligations, and company policies. This position requires strong attention to detail, effective communication skills, and the ability to coordinate multiple priorities in a fast-paced project environment while supporting the successful delivery of transportation infrastructure projects across Texas.

 

What You'll Do:

  • Partner with project managers, accounting staff, clients, subconsultants, and legal counsel to facilitate contract negotiations, coordinate revisions, and support timely execution of agreements.
  • Review and summarize key terms, conditions, and obligations within professional engineering services agreements, TxDOT-related contracts, and other business agreements, identifying potential risks and recommending revisions as needed.
  • Prepare, process, and administer prime contracts, subconsultant agreements, work authorizations, task orders, amendments, and addenda in accordance with client requirements and company policies.
  • Coordinate the execution process for client and subconsultant agreements, including routing documents for review and signature, tracking approvals, and ensuring complete and accurate contract records.
  • Maintain organized electronic contract management systems and project files, ensuring documentation is accurate, accessible, and compliant with company retention standards.
  • Monitor contract status, critical milestones, and required documentation to support project delivery and contractual compliance.
  • Collaborate with project teams to ensure contractual requirements, insurance provisions, and project-specific obligations are properly documented and fulfilled.
  • Assist with annual professional liability and corporate insurance renewal activities, including collecting required information and supporting documentation.
  • Coordinate the issuance and maintenance of project-specific insurance certificates and related compliance documentation for clients and subconsultants.
  • Provide administrative and contractual support throughout the project lifecycle, from proposal and contract execution through project completion and closeout.

 

 

What You'll Need:

  • 3+ years of experience with contract/subcontract review and contract management with TxDOT projects.
  • Experience with Contract Lifecycle Management platforms or concepts
  • Excellent written and verbal communication skills and a willingness to engage with diverse stakeholders, strong understanding of contract law, risk allocation, and negotiation principle
  • Attention to detail, organizational skills, and avility to manage multiple priorities
  • A collaborative, solution-oriented mindset wit the ability to work independently while exercising sound judgement and discretion
  • Current notary license or a willingness to obtain within the first six months of employment.
  • This office job primarily operates in a professional office and rountinely requires the use of standard office equipment such as computers, phones, and copy machines. May occasionally be exposed to noise. While performing the duties of this job, physical demands of the employee may include constantly sitting, talking, hearing, repetitive motions, and occasionally standing, moving reaching, handling, grasping, feeling and coordination. This job will rarely require lifting, carrying, pushing, and pulling up to 35 lbs.
