As the Customer Service Representative, you will complete initial order entry procedures for assigned customers based on contractual agreements and current quality assurance policies. You will work closely with the Operations Department, the Inventory Supervisor, the Customer Service Manager and other terminal departments to coordinate orders, maintain accurate inventories and support smooth terminal operations. Your work will help ensure our customers’ products are stored safely, inventories are correct and up to date, and that customer requests and issues are handled promptly and professionally.

What you will be doing

In this role, you will focus on completing initial order entry procedures for your assigned customers, ensuring that every order is aligned with existing contractual agreements and current quality assurance policies. You will translate customer requests into clear, accurate instructions for the Operations Department, following up as needed throughout the day and handling any after-hours issues that may arise, while also providing back-up support to other Customer Service Representatives. On a regular basis, you will maintain accurate and current inventory records on customer tanks, working closely with the Inventory Supervisor to resolve discrepancies and support the month-end closing process within established guidelines and timeframes. You will also organize and maintain detailed files for assigned customer orders—both completed and pending—as well as correspondence, ensuring that your desk reference manual is kept up to date to support consistent, high-quality service. As a key point of contact for your customers, you will build and sustain strong working relationships, keep the Customer Service Manager informed of issues that may affect quality procedures, and coordinate customer requests such as audits, site visits and meetings with the appropriate departments. You will participate in any required regulatory, quality process, job enhancement or customer-directed training, and may help prepare special reports when requested by the Customer Service Manager. Throughout your work, you will use your precision, customer focus and English fluency to support a smooth, responsive and compliant terminal operation.

Key responsibilities

  • Process orders for assigned customers in line with current agreements and quality standards and communicate requests to the Operations Department.  
  • Establish and maintain working relationships with assigned customers and their representatives, and keep the Customer Service Manager informed of any problems or potential problems that may create alterations to quality procedures.  
  • Communicate customer requests such as audits, visits and meetings to the appropriate departments.
  • Complete and report the month-end closing process according to established guidelines and within the determined timeframe.  
  • Maintain accurate inventory numbers on customer tanks throughout the month and work with the Inventory Supervisor to resolve discrepancies.  
  • Organize and maintain files of assigned customer orders—completed and pending—as well as related correspondence.  
  • Participate in required regulatory, quality process, job enhancement or customer-directed training; Assist in preparing special reports as required by the Customer Service Manager.  

 

Qualifications

  • High School diploma or G.E.D. required.    
  • Minimum of 3 years in an administrative role.
  • Experience in customer service, accounting or railroad-related field preferred.  
  • Works with precision.  
  •  Excellent written and verbal communication skills.
  • Open minded and customer friendly.  
  • Proficient computer and Microsoft Office (Word, Excel, Outlook, etc.) skills.
