About the Role
Houston Hospice is seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to support senior leadership. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. You’ll play a key role in ensuring the executive’s schedule, operations, and communications run smoothly.

Duties/Responsibilities:

  • Proactively identifies opportunities, takes initiative, and consistently drives tasks to completion with a high level of ownership and accountability
  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
  • Coordinate internal and external communications on behalf of the executive
  • Prepare reports, presentations, and correspondence with a high level of accuracy
  • Organize and maintain files, records, and confidential information
  • Serve as a liaison between the executive and internal teams, vendors, and clients
  • Plan and coordinate meetings, events, and logistics
  • Track deadlines and follow up on action items to ensure timely completion
  • Assist with special projects and perform additional administrative duties as needed

Qualifications:

  • 3+ years of experience in an executive or administrative support role
  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or similar tools
  • Ability to handle sensitive information with discretion and professionalism
  • Strong problem-solving skills and attention to detail
  • Experience supporting C-level executives is a plus
