HR Generalist (Multi-Entity HR Operations)
Position Overview
The HR Generalist supports a broad range of human resources operational functions across ISS’s multi-entity organization. This role is responsible for maintaining accurate HR data, supporting onboarding and offboarding processes, coordinating payroll and benefits activities, and ensuring compliance across business units.
This position blends HR Generalist responsibilities with a strong focus on HR operations, HRIS management, reporting, and process execution. It is highly detail-oriented and requires the ability to manage multiple priorities across a diverse and evolving organizational structure.
Key Responsibilities
Multi-Entity HRIS Administration
- Maintain and update employee records across multiple ISS entities within the HRIS systemÂ
- Process employee lifecycle transactions including hires, rehires, terminations, transfers, promotions, and compensation changesÂ
- Ensure proper company-level coding, cost center allocation, and job profile alignment within the HRIS systemÂ
- Conduct regular audits to ensure data accuracy, consistency, and compliance across entitiesÂ
- Generate HR reports for leadership, payroll, and compliance purposes across multiple business unitsÂ
Onboarding & Offboarding Coordination
- Coordinate onboarding across multiple ISS entities, ensuring accurate employee setup within HR systemsÂ
- Prepare and process new hire documentation, onboarding checklists, and required employment paperworkÂ
- Ensure completion of all required compliance documentation (I-9, tax forms, acknowledgments, eligibility verification)Â
- Manage offboarding workflows including termination processing, system deactivation, and final documentation trackingÂ
- Ensure a consistent and efficient onboarding and offboarding experience across all business unitsÂ
Payroll & Benefits Coordination
- Partner closely with payroll to ensure accurate and timely processing of employee changes across entitiesÂ
- Assist with benefits administration support including enrollment, changes, and open enrollment processesÂ
- Validate employee data changes impacting payroll processing (status, pay rates, deductions, job changes)Â
- Support reconciliation of HR and payroll data and resolve discrepancies as neededÂ
Compliance & Recordkeeping
- Maintain accurate and compliant employee files across all ISS entitiesÂ
- Support internal audits by preparing and organizing employee documentation as requestedÂ
- Ensure adherence to federal, state, and local employment regulations across multi-state operationsÂ
- Track required acknowledgments, policy updates, and training documentationÂ
- Assist with reporting requirements for internal and external compliance needsÂ
HR Operations & Systems Support
- Support ongoing optimization of HR processes and workflows within HR systemsÂ
- Assist with testing and implementation of HR system updates, integrations, and enhancementsÂ
- Maintain HR templates, forms, and standardized documentation across entitiesÂ
- Participate in HR projects related to system improvements, acquisitions, restructures, and organizational changesÂ
- Provide general HR operational support to ensure efficiency and consistency across departmentsÂ
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred (or equivalent experience)Â
- 3–5+ years of HR operations, HR generalist, or HR specialist experienceÂ
- Experience working in a multi-entity or multi-company HR structureÂ
- Strong experience with HRIS systems and high-volume HR transactions (Paylocity, ADP Workforce Now)
- Excellent attention to detail and ability to manage multiple priorities in a fast-paced environmentÂ
- Strong organizational, communication, and problem-solving skillsÂ
- Proficiency in Microsoft Office (Excel, Word, Outlook)Â
- Ability to maintain confidentiality and handle sensitive information with discretionÂ
Preferred Qualifications
- Experience supporting payroll coordination and benefits administrationÂ
- Familiarity with multi-state HR compliance requirementsÂ
