Job DetailsJob Location: 4609 Apollo - Houston, TX 77040ROLE The International Inside Sales Coordinator - is an office-based role in Houston, TX reporting to the International and Wholesale Manager. The position is responsible for the day-to-day administrative, order management, and documentation workload associated with Tally’s growing international and wholesale business. ESSENTIAL FUNCTIONS Quote Management & Order Entry Maintain and update the international and wholesale quote log on a daily basis, ensuring all active quotes are tracked with current status, pricing, and follow-up dates. Enter and manage orders in the ERP system accurately and in a timely manner; coordinate with manufacturing and supply chain to confirm order acknowledgment, lead times, and delivery schedules. Prepare and distribute quotation documents to customers under direction of the VP of Gas Lift and International Sales Manager. Support the preparation of technically straightforward quotes by gathering product specifications, pricing inputs, and lead time data from internal teams. Track and reconcile backlog reports; flag discrepancies or at-risk orders to the VP of Gas Lift and International Sales Manager proactively. Compliance & Export Documentation Own the preparation, tracking, and filing of international compliance documentation, including export documentation, certificates of origin, commercial invoices, packing lists, and other shipping paperwork required for international orders. Maintain current working knowledge of Tally’s international trade compliance requirements and escalate any compliance issues or gaps to the appropriate team member immediately. Coordinate with Tally manufacturing to ensure all compliance documentation accompanies product releases for international shipments. Customer & Liaison Support Serve as the primary point of contact for routine customer inquiries related to order status, shipping updates, lead times, and documentation requests escalating technical or commercial questions to the VP of Gas Lift or International Sales Manager. Liaise between the Gas Lift Division and Tally Manufacturing on order status, production scheduling conflicts, and expedite requests. Maintain organized and accurate customer files, including order history, quote history, and compliance documentation, accessible to the VP of Gas Lift and International Sales Manager. Support the International Sales Manager in preparing customer-facing communications, meeting summaries, and follow-up correspondence. Reporting & Administration Generate and distribute regular reports on order activity, backlog status, open quotes, and delivery performance. Maintain organized customer files including order history, quote history, correspondence, and contracts. Support sales meetings by preparing agendas, tracking action items, and distributing meeting summaries. Assist with the onboarding of new customers by collecting required information and coordinating account setup. Other Conduct all business activities in accordance with company code of conduct, policies and procedures and all applicable legal requirements. Perform other duties and activities assigned by supervisor within the physical constraints of the job.  QualificationsQUALIFICATIONS & REQUIREMENTS Education High school diploma or GED required. Associate’s or Bachelor’s degree in Business Administration, Marketing, or a related field preferred. Experience Minimum 3 years of inside sales coordination, order management, or operations support experience in an industrial, oil and gas, or manufacturing environment. Demonstrated experience with ERP systems for order entry, backlog management, and reporting (SAP, Oracle, Infor/Syteline, or equivalent). Experience preparing and managing international documentation export paperwork, commercial invoices, certificates of origin, packing lists — strongly preferred. Experience with vendor/supplier portals and purchase order systems – preferred. SKILLS, ABILITIES & WORK STYLE •   Proficiency in Microsoft Office Suite — Excel (intermediate to advanced), Word, Outlook; ability to maintain and manage quote logs and backlog trackers in Excel. •   Strong organizational skills and attention to detail and accuracy in order entry and documentation is essential. •   Ability to manage multiple open orders and active quotes simultaneously in a fast-paced, deadline-driven environment. •   Self-directed and proactive with ability to identify gaps in tracking or documentation and resolve them without being prompted. •   Effective written and verbal communication skills; ability to interface professionally with customers, manufacturing teams, and internal leadership.
