Thompson and Horton LLP seeks a full-time legal assistant located in Houston to join our team. This position will be responsible for performing a variety of legal administrative tasks to support our attorneys. Candidates must have excellent communication skills, be well organized, and be highly motivated.

Essential Functions

  1. Answers and directs telephone calls promptly, taking messages and following up when necessary
  2. Prepares and tracks packages and mail sent using best delivery method
  3. Calendars applicable deadlines and monitors all attorney calendars daily, while keeping up to date with upcoming deadlines
  4. Provides files and other materials necessary for any attorney meetings, court appearances, etc.
  5. Initiates communication with attorneys regarding due date(s) for important assignment(s) and when such assignments will be completed
  6. Files documents and ensures that all filing is up-to-date and in the appropriate placement
  7. Assists with document production and files documents with federal and state courts as requested
  8. Downloads filed documents and exhibits and timely saves them to our document management system
  9. Creates templates, table of authority/contents upon request
  10. Coordinates all arrangements for attorney travel (when necessary)
  11. Prepare and submit expense reports for attorneys
  12. Assists with billing tasks, including prebill edits
  13. Inputs time as necessary, with accuracy, and within set deadlines
  14. Accurately and timely prepares binders for interviews, depositions, hearings, and trial
  15. Undertakes file management - opening, closing, and retrieval of client files and highly confidential case files under supervision of an attorney
  16. Prepares formal correspondence and letters on Firm letterhead
  17. Manages multiple priorities and meets deadlines
  18. Coordinates conference registrations on as-needed basis

Requirements

  • Minimum of 1-3 years of experience in a legal assistant role
  • Working knowledge of: Word, Outlook, Excel, PowerPoint, Adobe
  • Excellent verbal, written, and interpersonal communication skills
  • Ability to multitask and prioritize tasks effectively
