Specialized Fiduciary Administrator II (SFA II) Estate Settlement, Private Bank -

Provides administrative support to Specialized Fiduciary Officers. Team Leaders, Group Manager and National Executive. Works independently, but closely with Officers and Team Leaders to ensure accurate and efficient delivery of services. Coordinates information and activities with external business partners (Attorneys, CPAs, Fiduciary Accountants, third party vendors, etc.) and with internal support partners (FAs, Sales, Tax, Compliance, SAM, ART, Operations, Technology Groups and Trust Administration, etc.) as needed. May be accountable for managing the smaller, less complex situations that require a lesser degree of technical expertise and knowledge Responsible for routine administrative duties, such as performing account maintenance, processing transactions, file retrieval, optical imaging, filing, copying, ordering supplies, making and answering telephone calls, writing routine letters/e-mails and other tasks as required to administer accounts and serve client needs. May be asked to participate in projects, prepare reports and conduct research. May act as a point of contact for clients and internal/external partners and as a backup for the Officers. The SFA II is supervised and supported by a Specialized Fiduciary Officer.

Job Responsibilities:
 

  • The Specialized Fiduciary Administrator provides administrative support to Settlement Officers, Managers, and the National Trust Settlement Director.
  • The Specialized Fiduciary Administrator works independently, but closely with Trust Settlement Officers and Managers to ensure accurate and efficient delivery of services to clients.  Coordinates information and activities with internal partners; Administrative Resource Team (ART), Compliance, Fiduciary Tax Services, Specialty Asset Management (SAM), Trust Operations, Fiduciary Tax Services (Tax), etc.
  • May act as point of contact to clients and external partners as a backup for Settlement Officers, including but not limited to trust beneficiaries. 
  • Responsible for routine administrative duties such as account maintenance, money movement, optical imaging, client verification, file retrieval, preparing, mailing, and tracking settlement packets, responding to verbal and written inquiries, etc.
  • May be asked to participate in projects and conduct research on a variety of topics including but not limited to previously closed accounts.   

Qualifications:

  • BS/BA degree or equivalent experience
  • Paralegal experience/training preferred
  • Prior trust, estate or tax experience preferred
  • Strong communication and organizational skills
  • Ability to work in a fast-paced environment where multi-tasking and prioritization is a necessity
  • 2-3 yrs work experience required to service high net worth clients
  • Works well as an individual contributor and member of a team
  • Proficient use of Microsoft Office
  • Ability to learn and apply new technology and systems
