About the Role

MATSYS is looking for a Procurement Specialist to own day-to-day sourcing and buying activity across a broad set of direct and indirect categories — from specialty raw materials such as metal powders to equipment, components, MRO, and services. You will run competitive sourcing globally, vet and qualify suppliers, negotiate commercial terms, place and manage purchase orders, and keep material flowing on time despite long lead times and shifting demand.

This is a hands-on, mid-level role for someone equally comfortable digging into spend data and picking up the phone to resolve a late shipment. You will be a trusted point of contact for suppliers and a reliable partner to Engineering, Operations, Quality, Finance, and Receiving, while balancing cost, quality, delivery, risk, and continuity of supply on every buy. As a DoD contractor, MATSYS requires full compliance with the Federal Acquisition Regulation (FAR), Defense Federal Acquisition Regulation Supplement (DFARS), and other applicable federal and state procurement regulations. We're also a fast-paced, rapidly evolving company, so you'll need to keep up with high PR-to-PO turnover and think critically to help us develop and document procurement practices that can scale as we grow.

What You'll Do

  • Strategic sourcing (global): Run competitive sourcing events across a global supplier base, issue RFQs/RFIs, compare pricing, lead times, and total cost of ownership, and recommend award decisions that improve value and protect continuity of supply.
  • Supplier vetting & qualification: Identify, evaluate, and onboard new suppliers; verify capabilities, quality systems, certifications, insurance, and source of origin/material traceability, including for metal powders and other specialty materials to meet MATSYS and customer requirements.
  • Negotiation: Negotiate pricing, payment terms, lead times, minimum-order quantities, freight terms, warranties, and service levels within delegated authority.
  • Purchase execution: Convert purchase requests into accurate purchase orders in line with MATSYS purchasing policy, approval controls, and budgets; manage changes, acknowledgments, expedites, and order closeout with the speed and accuracy our high PR-to-PO turnover demands.
  • Managing long lead times: Plan and place orders around long- and variable-lead-time materials; track open POs, anticipate shortages, expedite when needed, and communicate delivery risk early.
  • Supplier risk assessment: Assess and monitor supplier risk (financial, capacity, geographic, single-source, compliance, and source-of-origin exposure) and drive mitigation and contingency plans.
  • Contracting & contract management: Support development, review, and renewal of supplier agreements, pricing agreements, and NDAs in partnership with Finance, Legal, and Quality; track obligations, expirations, and compliance.
  • Supplier management: Serve as day-to-day contact for assigned suppliers; monitor performance on cost, quality, delivery, and responsiveness, and lead corrective actions on issues.
  • Data analysis: Analyze spend, price trends, lead times, and supplier performance in Excel/ERP; build simple reports and use the findings to recommend savings, consolidation, and process improvements.
  • Shipping, receiving & reconciliation: Coordinate with Shipping/Receiving and Accounts Payable to resolve delivery discrepancies, damaged shipments, and three-way-match (PO/receipt/invoice) variances.
  • Records & regulatory compliance: Maintain accurate, audit-ready supplier, item, pricing, and purchase-order records; keep pricing, contracts, and supplier information confidential; and ensure procurement activity complies with FAR, DFARS, and other applicable federal and state regulations.
  • Scalable process development: Help develop, document, and continuously improve procurement processes, policies, and controls that can keep pace with MATSYS's rapid growth and high PR-to-PO volume.

What You'll Bring

  • Associate or bachelor's degree in supply chain, business, operations, or a related field, or an equivalent combination of education and experience.
  • 3–5 years of procurement, strategic sourcing, purchasing, or supply chain experience.
  • Direct experience in a manufacturing and production industry environment, with an understanding of production schedules, bills of materials, and how material availability drives the factory floor.
  • Hands-on experience with purchase requests, purchase orders, quotes/RFQs, supplier negotiations, and resolving delivery or invoice issues.
  • Working knowledge of contract and commercial terms, total cost of ownership, supplier risk, and continuity of supply.
  • Working knowledge of FAR, DFARS, and other federal and state procurement regulations, or the ability to learn and apply them quickly; government contracting experience is a plus.
  • Experience sourcing globally and managing suppliers with long or variable lead times.
  • Strong Excel and data-analysis skills; comfort working in an ERP/MRP or procurement system (e.g., SAP, Oracle, Deltek, or similar).
  • Excellent organization, attention to detail, and follow-through, with the ability to manage many priorities independently and accurately.
  • Comfort operating in a fast-paced, rapidly evolving environment with high PR-to-PO turnover, with the critical thinking to help build and document scalable procurement practices as we grow.
  • Clear, professional written and verbal communication with suppliers and internal stakeholders.
  • High standards of ethics, discretion, and compliance in handling supplier relationships and company resources.
  • Experience sourcing metal powders, specialty raw materials, or other engineered/regulated categories, including source-of-origin and material traceability requirements.
  • Familiarity with import/export, country-of-origin, and supply-chain traceability or compliance requirements.
  • Experience with spend analysis, supplier rationalization, or procurement process/system improvement projects.
