The Medical Assistant is aĀ multiskilledĀ health professional who works collaboratively with healthcare providers to deliverĀ high‑quality,Ā patient‑centeredĀ care. Trained in both administrative and clinical functions, the Medical Assistant supports efficient clinic operations, ensures patient comfort and safety, and contributes to a positive care experience.Ā Ā

This position is directly accountable for the following key areas:Ā 


  1. Patient Experience & Customer ServiceĀ 
  • ProvideĀ exceptional, welcoming, and professional interaction for everyĀ patient.Ā 
  • Demonstrate a positive attitude, empathy, optimism, and a strong commitment to service.Ā 
  • AssistĀ patientsĀ byĀ identifyingĀ needs, answering questions, and findingĀ timelyĀ solutions.Ā 
  • Communicate clearly using proper language, grammar, tone, and professionalism.Ā

  1. Administrative SupportĀ 
  • Perform front desk reception duties, including greeting patients with professionalism and warmth.Ā 
  • Answer phones, schedule appointments, and provide instructionsĀ forĀ the registration process.Ā 
  • Complete andĀ maintainĀ medicalĀ recordsĀ following organizational standards.Ā 
  • Prepare and type correspondence; process mail and manage office communications.Ā 
  • Process, code, and complete insurance claim forms accurately.Ā 
  • Perform purchasing, inventory management, and equipment maintenance tasks.Ā 
  • UseĀ computer-basedĀ systems for billing, transcription, scheduling, insurance claims, accounts receivable, and database entry.Ā 
  • Arrange hospital admissions, radiology appointments, and external referrals.Ā 
  • Call prescriptions into pharmaciesĀ byĀ provider’s orders.Ā 


  1. Clinical Care & Patient SupportĀ 
  • Welcome and room patients, ensuring a warm and supportive experience.Ā 
  • Measure and document vital signs, patient histories, allergies, and chief complaints.Ā 
  • Provide patient educationĀ regardingĀ medications, treatments, chronic disease management, and special diets.Ā 
  • Prepare patients for examinations and perform routine screening tests.Ā 
  • AssistĀ providers with exams, minor procedures, and office surgeries.Ā 
  • Prepare lab forms, perform phlebotomy, and collect various lab specimens.Ā 
  • Conduct basic laboratory tests and ensure proper documentation.Ā 
  • Follow the ā€œTime Outā€ protocol for all procedures.Ā 
  • Demonstrate familiarity with Ryan White, Title X, and Sliding Fee Scale documentation requirements.Ā 
  • Perform EKGs;Ā assistĀ withĀ X-rayĀ and physical therapy procedures when needed.Ā 
  • Administer medications and injections (IM, vaccines, antibiotics, hormonal, etc.) under provider orders.Ā 
  • Change dressings, apply bandages, and provide first aid treatments.Ā 
  • Sterilize instruments;Ā maintainĀ exam rooms, supplies, and equipment.Ā 
  • Dispose of biohazard materials in compliance with OSHA standards.Ā 
  • Practice all OSHA safety procedures consistently.Ā 
  • EnterĀ high-qualityĀ clinical documentation that meets legal, ethical, and organizational standards.Ā 
  • Participate in quality management and quality assurance initiatives
  1. Medication, Record, & Communication ManagementĀ 
  • Sort and fax approved prescription refills to pharmacies.Ā 
  • Coordinate referrals, radiology orders, and laboratory orders while verifying insurance requirements.Ā 
  • Prepare, release, and obtain medical records upon receipt of proper patient authorization.Ā 
  • Scan relevant documents into the EHR promptly for provider accessibility.Ā 
  • Check phone messages regularly and return calls promptly, or route them to theĀ appropriate teamĀ member.Ā 
  • Follow organizational medication policies for administering, receiving, storing, and transferring medications and vaccines.Ā 


  1. Compliance, Safety, & Operational SupportĀ 
  • Complete daily and monthly assigned tasks, including POCT controls and documentation.Ā 
  • Maintain required training for Food Bank and Food RX programs.Ā 
  • Complete ASN TVFC state training modules related to vaccine storage, handling, transferring, and data logger use.Ā 
  • Follow guidelines for ordering, managing, and storing private vaccines and medications.Ā 
  • Demonstrate understanding of incident reporting and the protocol for calling clinical codes.Ā 
  • Maintain knowledge of clinicĀ life safetyĀ components (emergency exits, fire extinguishers, spill kits, eye wash stations).Ā 
  • Provide input on quality improvement projects and support operational benchmarks.Ā 
  • PerformĀ additionalĀ duties asĀ assigned to support clinic operations and patient safety.Ā 


  1. Flexibility & Additional ResponsibilitiesĀ 
  • ProvideĀ cross coverageĀ to other clinics as needed.Ā 
  • Adapt to changing priorities and assist with tasks outside of routine responsibilities as needed.Ā 
  • PerformĀ additionalĀ duties or special projects assigned to supportĀ organizationĀ operations.Ā

Education,Ā Licensure/Certification:Ā

  • High school diplomaĀ or GEDĀ required.Ā 
  • Medical Assistant CertificationĀ required.Ā 
  • BLS (Basic Life Support) CertificationĀ required.Ā

Experience,Ā Skills/Abilities Related Requirements:Ā 

Ā 

  • BilingualĀ proficiencyĀ in English and Spanish is preferred to support effective communication with patients, though candidates who are not bilingual are still encouraged to apply.Ā 
  • Experience working with patients, clients, or the public in aĀ fast pacedĀ environment preferred.Ā 
  • Demonstrated competency in communication,Ā problem-solving, andĀ maintainingĀ professionalism under pressure.Ā 
  • Soft skills such as empathy, adaptability, teamwork, and aĀ service orientedĀ mindset.Ā 
  • ProficiencyĀ with electronic health records (EHR) systems, scheduling software, and basic office technology and software preferred.Ā
