Join Our Team: Apartment Services, Inc. is seeking a detail-oriented and professional Administrative Assistant to support our corporate office. This role is ideal for someone who thrives in a fast-paced environment and enjoys office administration, executive support, and customer service. You’ll work closely with leadership and multiple departments to help keep daily operations running smoothly.

What You’ll Do

  • Answer and route incoming calls; provide front desk support 
  • Greet clients, visitors, and vendors in a professional manner 
  • Manage calendars, schedule meetings, interviews, and conferences 
  • Prepare meeting agendas, take minutes, and track follow-ups 
  • Create, edit, and proofread documents, reports, and presentations 
  • Perform general administrative tasks (emailing, filing, scanning, mailing) 
  • Maintain organized electronic and hard copy filing systems 
  • Coordinate meeting spaces and order catering for events 
  • Manage office and kitchen supply inventory 
  • Assist with executive administrative support tasks 
  • Process petty cash, check requests, and vendor coordination 
  • Support onboarding, interview scheduling, and HR-related admin tasks 
  • Track projects and updates using systems (e.g., calendars, Monday.com) 
  • Collaborate with departments including HR, Marketing, Training, and Operations 
  • Maintain organization and cleanliness of shared office spaces

What We’re Looking For

  • Experience in administrative support, office administration, or receptionist roles 
  • Strong communication and customer service skills 
  • Highly organized with strong attention to detail 
  • Ability to multitask and prioritize in a fast-paced environment 
  • Professional, friendly, and team-oriented attitude 
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) 
  • Ability to handle confidential information with discretion

Requirements

  • High school diploma or equivalent 
  • Valid driver’s license and reliable transportation 
  • Ability to sit for extended periods and work on a computer 
  • Ability to lift up to 15lbs as needed 
  • Professional appearance and communication skills 
  • Reliable phone and email communication
