Salary Range Starting At: $ 12.00 per/ hr

Job Description:

As the Administrative Assistant you will be responsible for the clerical, accounting function of the facility and Social Services. This position requires utmost confidentiality, ability to follow procedures and policies while ensuing our clientele and volunteers via phone and in person are treaty with courtesy and respect. Regular attendance at work is essential function of this position. Along with ensuring that the Mission of The Salvation Army is effectively carried out.  

Essential Duties and Responsibilities:

Office Procedures

  • Responsible for preparing and sending account payables according to policies and procedures per accounting center direction
  • Weekly contributions, donations, deposits and receipting
  • Greeting all persons, whether in person or via phone in a friendly courteous manner
  • Ensure messages are answered in a timely manner
  • Assist the Corps Officer as needed with general office and business matters
  • Process daily mail
  • Create and send Thank You notes to donors,
  • Clerical duties of filing and record keeping
  • Assist during seasonal fundraising
  • Maintain office and building supplies
  • Oversee Volunteers and logistics
  • Schedule of Building rentals
  • Processing and submitting monthly statistics
  • may be required
  • May be asked to drive a Corps vehicle
  • Attend Advisory Board meetings and take minutes
  • Other tasks as assigned by leadership

 

Social Services

  • Oversee weekly pantry distribution
  • Assist Clients with Utility assistance
  • Provide reporting to Community Harvest
  • Oversee documenting and sorting of daily food donations
  • Attend Empowering Humanities on the first Thursday of the month
  • Other tasks as assigned by leadership

 

Minimum Qualifications: The requirements listed below are representative of the minimal education, experience, skills, and/or abilities required for this position.

Education: High School Diploma, or GED equivalent. Associates Degree preferred.

Background Checks: Position requires a background check to be completed, and all background check results will be reviewed.

Experience Preferred two years of experience of working in an office. Understanding general office processes and systems.

Certifications: Must have a valid driver’s license and maintain The Salvation Army Driver’s qualification standard; must complete Safe From Harm training within the first 30 days of employment. Must complete Caseworker Cerification Program within 30 days of employment.

Skills/Abilities: 

  • Able to speak, write and understand English in a manner sufficient for effective communication with leadership, field personnel, and clientele. Knowledge of the Spanish language. (not required but will be helpful) 
  • Computer proficiency with Microsoft products and ability to learn electronic reporting systems and TSAMMS, Outlook and Teams

 

Supervisory Responsibility: Volunteers as needed

  • Ability to communicate effectively and receive information necessary to perform the essential functions of the position.
  • Lifting, pulling, and pushing of materials up to 25 pounds
  • May require bending, squatting, walking.

Travel: Occasionally to Business or Social Service Seminars

Working Conditions: Work is performed in a typical office environment, May require some weekend, evening and seasonal.
