Backpack/School Pantry Coordinator

Position Summary
The Backpack/School Pantry Coordinator is responsible for coordinating all aspects of the Facing Hunger Food Bank Backpack/School Pantry Program, including inventory management, order processing, scheduling, distribution, and program support for participating schools and Backpack member agencies. This position serves as the primary point of contact for schools and agencies, ensuring timely deliveries, accurate inventory management, regulatory compliance, and exceptional customer service. The Backpack/School Pantry Coordinator works collaboratively with warehouse staff, drivers, volunteers, and community partners to ensure children and their families experiencing food insecurity receive nutritious food on a consistent basis.
Essential Duties and Responsibilities
Program Coordination
- Serve as the primary contact for participating schools and Backpack member agencies.
- Maintain positive working relationships with school personnel, agency representatives, volunteers, and community partners.
- Schedule and coordinate bi-weekly deliveries to participating school sites.
- Assist Backpack/School Pantry member agencies with ordering and scheduling product pickups.
- Maintain accurate program records, including student participation, contact information, delivery instructions, and special program requirements.
- Conduct required monitoring visits of participating schools and Backpack member agencies, including program compliance reviews and storage inspections at least once every two years.
- Identify opportunities for additional training and technical assistance at school and agency sites.
Inventory Management
- Create, process, and maintain Backpack Program orders utilizing ERP system.
- Monitor Backpack/School Pantry inventory levels and maintain established menu requirements for each county served.
- Forecast inventory needs and communicate purchasing recommendations to the Programs Director.
- Receive, allocate, and organize Backpack/School Pantry inventory within ERP system and the warehouse.
- Maintain accurate inventory records through cycle counts and monthly inventory activities.
- Ensure proper First-Expired, First-Out (FEFO) inventory rotation and monitor product expiration dates.
- Maintain organized warehouse storage locations to promote efficient order fulfillment.
- Monitor Backpack/School Pantry inventory availability for participating member agencies.
Order Fulfillment & Distribution
- Accurately pick and verify Backpack/School Pantry Program orders for participating schools.
- Coordinate staging of completed orders for scheduled deliveries.
- Assist with loading delivery vehicles to ensure timely distribution.
- Ensure deliveries are completed according to established schedules and program requirements.
- Maintain accurate delivery documentation and ensure signed receiving records are properly retained.
- Monitor school inventory levels and communicate program needs or concerns to management.
Collaboration & Operational Support
- Work collaboratively with warehouse staff, drivers, volunteers, and other departments to ensure efficient program operations.
- Assist with receiving Backpack/School Pantry inventory shipments.
- Support monthly inventory activities and other warehouse operations as needed.
- Respond promptly and professionally to inquiries from schools, agencies, volunteers, and internal staff.
- Recommend operational improvements to enhance efficiency, inventory management, and customer service.
- May be required to safely operate warehouse equipment, including forklifts and electric pallet jacks, following successful completion of required certification and training.
Qualifications
Required
- High school diploma or equivalent required.
- Proficiency in Microsoft Excel and Microsoft Office applications.
- Strong written, verbal, and email communication skills.
- Excellent organizational, analytical, and mathematical skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and accuracy.
- Ability to work independently while contributing effectively as a member of a team.
- Passion for serving the community and supporting the mission of Facing Hunger Food Bank.
Preferred
- Experience in inventory management, warehouse operations, logistics, or food distribution.
- Experience using inventory management software.
- Experience working with schools, nonprofit organizations, or community partners.
- Previous program coordination experience.
Special Requirements
- Must successfully pass a background check and drug screen.
- Must obtain ServSafeFood Handler Certification within three months of hire.
- Must be able to lift up to 50 pounds repetitively without a team lift.
- Must be able to travel locally to participating schools and member agencies for monitoring visits and program support.
