The City of Independence is seeking a friendly, organized, and professional individual to serve as a Full‑Time Office Assistant supporting both the Airport and City Hall. This customer‑facing role is the first point of contact for airport visitors, tenants, and members of the public, providing essential administrative support that ensures smooth daily operations and excellent customer service.

Position Overview
 Department: Airport – City Administration
 Reports To: Airport Director & City Clerk/Treasurer
 Status: Full‑Time Regular
 FLSA Status: Non‑Exempt
 Appointments: At‑Will
 

The Role
 The Office Assistant performs a variety of administrative, clerical, and customer service duties in support of the Airport and City Hall. Responsibilities include answering calls, greeting and assisting visitors, maintaining records, supporting basic financial tasks, and enforcing facility rules. This position requires strong communication skills, professionalism, and the ability to multitask in a busy public‑facing environment.


Key Duties and Responsibilities
 • Answer department phones; route calls and messages appropriately.
 • Respond to emails and other public inquiries.
 • Greet airport visitors and tenants; provide courteous, professional assistance.
 • Direct individuals to the proper staff or department for further help.
 • Assist with scheduling appointments and coordinating facility rentals or services.
 • Enforce facility rules and regulations concerning public health and safety.
 • Maintain records, filing systems, and perform data entry.
 • Perform basic mathematical and accounting tasks for handling and recording money.
 • Support invoicing, receipt tracking, and light financial processes.
 • Assist during emergency situations by responding appropriately and calmly.
 • Operate office equipment and update digital documents as needed.
 • Assist with public communications, announcements, or social media when needed.
 • Attend required in‑service training sessions throughout employment.

Qualifications & Requirements

Knowledge & Skills
 • Strong computer proficiency (Microsoft Office, email, Google Workspace).
 • Ability to understand and follow written and oral instructions.
 • Excellent interpersonal and communication skills.
 • Ability to work independently, multitask, and maintain effective working relationships.
 • Ability to interact with the public courteously and professionally.

Education & Experience
 • Prior office administration or customer service experience preferred.
 • Aviation interest or familiarity with airport operations is a plus but not required.

Licensing, Testing & Certifications
 • Must meet physical exam requirements outlined in the employee handbook.
 • Drug testing required as allowed by state law.
 • No residency requirement.
 • No additional licenses or certifications required.

Physical Requirements
 • Ability to sit, stand, walk, and perform light physical tasks throughout the day.
 • Ability to lift or carry up to 20 lbs. occasionally.
 • Ability to perform repetitive keyboarding, handle office materials, and operate equipment.
 • Must maintain sensory acuity for communication, computer use, and customer interaction.

Work Environment
The work environment is primarily indoors with occasional outdoor exposure. The position requires regular interaction with the public and may involve limited mobility, minor physical activity, and use of standard office equipment such as a cash register, copier, and postage machine.
This position is not designated as safety‑sensitive.

Hours of Work
 • Generally 40 hours per week, Sunday through Saturday.
 • Weekend work at the Airport (Saturday and Sunday) is required.
 • May be required to work additional or modified hours with minimal notice due to operational needs.
