Schedule: Monday–Friday, 8:00 AM – 4:30 PM (Onsite) 

 

Position Overview:

This role provides essential administrative and technical support to leaders and clinical teams within a busy practice environment at Riley Hospital. The Administrative Assistant supports surgery scheduling, insurance authorizations, daily office operations, assists with patient communication, and partners closely with the clinic staff and OR staff. The team is close‑knit, supportive, and encouraging, with structured onboarding and training to set candidates up for success. 

 

 

What Success Looks Like:

Within the first 3 months, the successful candidate will be able to flex confidently between multiple office functions, including: 

  • Surgery scheduling 

  • Completing insurance authorizations

  • Calling patients to schedule or gather details related to patient care

 

Key Responsibilities:

  • Schedule surgeries and assist with workflow coordination 

  • Call patients on an ad hoc basis to support office needs 

  • Assist with patient checkout as needed 

  • Provide administrative support to clinical team members 

  • Process invoices and handle general inquiries appropriately 

  • Address basic administrative and technical issues with minimal guidance 

 

Training & Onboarding:

  • Weeks 1–2: Online system training 

  • Weeks 3-6: Surgery scheduling

 

Skills for Success:

  • General computer proficiency 

  • Outgoing, dependable, and self‑motivated 

  • Reliable, punctual, and organized 

  • Comfortable working in a fast‑paced, matrixed environment 

  • Prior healthcare insurance experience is a plus!

  • Bachelor's degree preferred

 

Qualifications:

  • High School Diploma or GED required 

  • 0–3+ years of relevant experience; prior administrative experience preferred 

  • Experience in a complex or matrix organization is a plus 

  • Basic proficiency in Microsoft Office required
