Position Summary:    

The HR & Compliance Assistant plays a critical role in supporting Human Resources and Compliance functions within a healthcare or rehabilitation organization. This position ensures absolute accuracy and timeliness in all HR and compliance activities, including recruitment, onboarding, credentialing, and regulatory reporting. The ideal candidate is highly detail-oriented, proactive, and relentless in meeting deadlines, with a strong commitment to maintaining compliance in a regulated healthcare environment.


Key Responsibilities:

HR Support:

  • Coordinate recruitment activities with precision, including posting job ads, screening applicants, scheduling interviews, and managing candidate communications.
  • Oversee onboarding and offboarding processes, ensuring all documentation is complete, accurate, and compliant with healthcare regulations.
  • Maintain error-free employee records, including licensure and credential tracking for clinical staff.
  • Organize and monitor mandatory training programs (HIPAA, OSHA, patient safety) and ensure 100% compliance with deadlines.

Compliance Support:

  • Monitor compliance with healthcare regulations, company policies, and labor laws with zero tolerance for missed deadlines or inaccuracies.
  • Prepare and maintain compliance documentation, including audits, incident reports, and regulatory filings, with exceptional attention to detail.
  • Support internal audits and drive timely corrective actions.
  • Track and enforce deadlines for compliance certifications, staff licensure renewals, and mandatory reporting requirements with a sense of urgency and accountability.

Administrative Duties:

  • Manage calendars, schedule meetings, and prepare agendas for HR and compliance-related discussions.
  • Maintain secure and organized filing systems for sensitive healthcare and employee data.
  • Respond promptly and accurately to employee inquiries regarding HR policies, benefits, and compliance matters.
  • Assist with coverage of front desk.

 

Education, Licenses, or Certifications:

  • Associate’s or Bachelor’s degree in Human Resources, Healthcare Administration, Business Administration, or related field preferred.

 

Experience and skills required:

  • Experience: 1–2 years of administrative experience; HR or compliance experience in healthcare or rehabilitation strongly preferred.
  • Skills: 
    • Uncompromising attention to detail and accuracy in all tasks.
    • Strong organizational and time-management skills with the ability to prioritize under pressure.
    • Excellent communication and interpersonal abilities.
    • Proficiency in MS Office Suite and HRIS systems.
    • Knowledge of HIPAA, OSHA, and healthcare compliance standards preferred.
    • Ability to maintain confidentiality and handle sensitive information with discretion.
