Alta is seeking a Vice President of Administration to run the organization at enterprise scale. The VP of Administration holds full accountability for all administrative and operational functions of Alta Services — coordinating people, process, technology, and compliance across multiple workstreams simultaneously.

The right candidate brings demonstrated migration or transformation leadership, strong operational instincts, a command presence with both internal teams and executive stakeholders, and the process discipline to build and sustain a scalable operating model.

Key Responsibilities

Operations Leadership

  • Lead all administrative and operational functions of Alta Services, including Call Center, Policy Processing, Mailroom, Agency, and Claims.
  • Set and hold performance standards for operational teams: service levels, quality metrics, throughput targets, and escalation protocols.
  • Own the operating budget for all functions in scope; produce regular variance analysis and financial reporting to executive leadership.
  • Identify and eliminate operational waste; build standardized processes that scale with business growth without proportional headcount growth.
  • Ensure regulatory and compliance standards are maintained across all states in which Alta Services operates, in coordination with the Compliance and Legal functions.

Communication & Stakeholder Management

  • Produce and deliver clear, audience-calibrated communications — from executive-level status reporting and board-ready updates to front-line team briefings.
  • Represent Alta Services operations in interactions with the AM Best rating process, regulatory examinations, and external audits.
  • Build a culture of transparency within the operations team — surface problems early, communicate decisions clearly, and close the loop consistently.
  • Partner with HR and executive leadership on organizational communications, including employee notifications, retention messaging, and change timelines.

Process Improvement & Scalable Operating Model

  • Assess all inherited processes against enterprise standards and redesign where needed — eliminating redundancy, formalizing controls, and creating documented, repeatable workflows.
  • Implement operational metrics and dashboards that give leadership real-time visibility into performance, backlog, and risk.
  • Build a continuous improvement culture within the team: structured problem identification, root cause analysis, and solution implementation cadence.
  • Evaluate and manage vendor relationships supporting operations; negotiate service levels and hold partners accountable to defined standards.
  • Develop the organizational structure, role clarity, and talent development framework needed to support Alta Services at two to three times current operational volume.
  • Lead enterprise-scale change initiatives — consolidations, integrations, and system transitions — including master scheduling, multi-workstream coordination across Legal/Compliance, HR, IT, and Claims, and post-implementation stabilization against defined success criteria.

Qualifications

Required

  • 10+ years of progressive operations or administrative leadership, with at least 3 years at the VP or equivalent level.
  • Demonstrated experience leading a large-scale operational migration, consolidation, or integration — including people transitions, system cutovers, and multi-state regulatory compliance.
  • Insurance industry background required; familiarity with life, health, and/or annuity product lines strongly preferred.
  • Exceptional communication skills — written and verbal — with a demonstrated ability to communicate complex operational situations clearly at all organizational levels, including executive and board.
  • Strong financial acumen: ability to read, manage, and report on operational budgets and cost-benefit analysis.
  • Track record of building and improving operational processes in environments undergoing significant change.
  • Ability to operate in a fast-paced, high-accountability environment with limited ambiguity tolerance.

Preferred

  • Experience leading multi-workstream programs involving IT, HR, Claims, Finance, and Call Center simultaneously.
  • Familiarity with Claims administration, including adjuster licensing requirements across multiple states.
  • Experience building or rebuilding an operations function post-acquisition or post-consolidation.
  • Bachelor's degree required
