Metal Ops is looking for a highly organized, proactive, and dependable Bilingual Administrative Assistant to work directly with our Director of Operations at our Stuart, Florida location.

This is not a traditional receptionist role. We are looking for someone who can become the right hand to our Director of Operations—keeping priorities organized, tracking follow-ups, coordinating communication, preparing information, and making sure important tasks don't fall through the cracks.

The right person is fluent in English and Spanish, thrives in a fast-paced environment, pays extreme attention to detail, and naturally takes ownership rather than waiting to be told what to do.

What You’ll Do

  • Provide direct administrative support to the Director of Operations.
  • Manage schedules, meetings, calendars, reminders, and priorities.
  • Track action items, deadlines, and commitments through completion.
  • Take meeting notes and turn discussions into organized next steps.
  • Follow up with managers and employees on outstanding tasks.
  • Prepare reports, spreadsheets, documents, and meeting materials.
  • Coordinate communication between operations, production, sales, purchasing, logistics, finance, and leadership.
  • Communicate professionally with employees, customers, and vendors in both English and Spanish.
  • Assist with employee documentation, onboarding, and administrative coordination.
  • Maintain organized company records, documents, and operational information.
  • Assist with special projects and initiatives led by the Director of Operations.
  • Identify missing information or overdue tasks and proactively follow up.
  • Help create structure, organization, and accountability throughout the operation.
