Position Summary:

The Administrative Assistant plays a critical role in supporting daily office operations and ensuring workflow across departments. This position provides administrative and organizational support to the team members and leadership while maintaining accurate records, facilitating communication, and contributing to a professional and productive work environment. This role requires strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced setting.


Key Responsibilities:

  • Greeting clients warmly, assist with coats & beverages, and escort them to designated consultation areas.
  • Maintain a professional front desk presence, answering phones promptly, and assisting consultants as needed.
  • Monitor and manage appointment schedules.
  • Assist consultants and administrative staff with client portfolios, price books, literature, and sample updates.
  • Maintain showroom cleanliness and organization, including restrooms and client spaces.
  • Perform opening and closing procedures, including unlocking/locking doors, managing lighting, music, TVs and computer logins.
  • Process customer payments and support accurate and timely order fulfillment.
  • Support additional administrative and showroom duties as assigned.

 

Education / Experience:

  • High school diploma or equivalent required

 

Required Skills / Abilities:

  • Strong customer service and communication skills, both verbal and written.
  • High level of organization with the ability to manage multiple projects and deadlines.
  • Collaborative mindset with the ability to support and coach others.
  • Strong familiarity using showroom systems and Microsoft Office applications.
  • Strategic, growth-oriented thinker with sound judgment.

 

Physical Demands / Requirements:

  • Ability to sit or stand for extended periods while performing computer and phone-based work.
  • Frequent use of hands and fingers for typing, handling samples, paperwork, and operating office equipment.
  • Ability to walk, bend, and reach throughout the showroom and office areas.
  • Occasional lifting and carrying samples, portfolios, or materials weighing up to 25 lbs.
  • Visual and auditory ability required to engage clients, review documents, and manage schedules.



Work Environment:

  • Professional retail showroom and office environment.
  • Frequent interaction with clients, contractors, consultants, and vendors.
  • Exposure to display lighting, cabinetry, countertops, and decorative showroom materials.
  • Fast-paced, customer-focuses setting requiring adaptability, attention to detail, and professionalism.
  • Primarily indoor environment with standard office and showroom equipment.
