The Role

We are hiring an experienced Vice President of Documentation & Lease Administration to lead our documentation and funding function while remaining hands-on with complex equipment finance transactions. You will develop and mentor the Lease Administration team, oversee transaction execution, strengthen processes, and partner with Sales, Credit, Syndication, Accounting, Legal, and senior leadership to move deals efficiently from approval through funding. Success looks like accurate documentation, faster closings, strong risk controls, audit-ready files, and a team that consistently performs at a high level.

Responsibilities

  • Lead, mentor, and develop the Lease Administration team, including hiring, training, goal setting, performance feedback, and career development.

  • Set clear standards for documentation quality, turnaround time, funding accuracy, and overall deal execution.

  • Draft, review, redline, and negotiate equipment lease and loan documents, assignments, vendor agreements, and third-party contracts.

  • Provide final review and approval of key transaction documents before closing and funding.

  • Manage complex transactions from credit approval through documentation, booking, funding, and post-closing follow-up.

  • Oversee UCC filings, lien perfection, equipment titling, assignments, insurance requirements, and multi-state sales and use tax considerations.

  • Negotiate assignments and documentation requirements with banks, debt sources, customers, vendors, and other counterparties.

  • Partner with Sales, Credit, and Syndication to identify documentation risks and develop workable solutions for complex transactions.

  • Oversee funding and disbursement quality control to ensure payments are accurate, timely, and consistent with credit approvals.

  • Develop and maintain procedures, checklists, service standards, cross-training plans, and audit-ready file requirements.

  • Create and monitor department metrics, including time to fund, documentation accuracy, exception rates, turnaround times, and audit findings.

  • Use LeasePlus, Salesforce, and other systems to improve workflow visibility, reporting, intake, and approvals.

Qualifications

  • 7+ years in equipment finance documentation and funding, including experience in a senior leadership or management role.

  • Expert knowledge of equipment leases, loans, assignments, guaranties, vendor agreements, UCC filings, lien perfection, titling, and funding requirements.

  • Experience drafting, reviewing, and negotiating transaction documents with customers, vendors, banks, and debt sources.

  • Proven ability to manage complex, large-ticket, or multi-party equipment finance transactions from approval through funding.

  • Experience hiring, coaching, and developing documentation or lease administration professionals.

  • Strong judgment and the ability to identify risk, resolve documentation issues, and protect the company’s position throughout the lease lifecycle.

  • Ability to manage multiple transactions, stakeholders, deadlines, and competing priorities without sacrificing accuracy.

  • Strong written and verbal communication skills, with a calm and decisive approach under tight deadlines.

  • Experience with LeasePlus or a comparable leasing platform and Salesforce preferred, plus advanced Word, Excel, and Outlook skills.

  • Bachelor’s degree required.

  • Nice to have: CLFP certification, legal or paralegal experience, or experience developing department procedures and performance metrics.

Details
