The Practice Assistant provides administrative and legal support to attorneys within the Veterinary Practice Group, helping ensure the efficient daily operation of the team. This position plays a key role in supporting attorneys, clients, and firm initiatives through organization, communication, and attention to detail. The ideal candidate thrives in a fast-paced environment, enjoys working collaboratively, and takes pride in delivering exceptional client service.
Applicants should have at least 3 to 5 years of related experience, an Associate’s degree or equivalent, or a combination of education and experience. This role offers the opportunity to develop strong working relationships across the firm while working alongside experienced attorneys and professional staff in a dynamic practice area.

- Assisting with the preparation of materials, forms, budgets, reports, and charts required by major clients, including insurance carriers and regulatory agencies
- Providing administrative support to attorneys, including calendar management, scheduling meetings, and coordinating calls
- Maintaining attorney calendars, deadlines, and reminders to support timely completion of client and court-related obligations
- Opening, maintaining, and closing client and matter files in accordance with firm procedures
- Preparing, editing, formatting, and organizing legal documents using firm templates and style guidelines
- Managing electronic and physical files to ensure documents are accurately maintained and accessible
- Assisting with electronic filings in state and federal courts, administrative agencies, and arbitration forums as needed
- Tracking hearings, deadlines, and key dates while supporting attorney docketing requirements
- Serving as a professional point of contact for clients, courts, experts, and opposing counsel
- Handling incoming communications with professionalism, discretion, and responsiveness
- Coordinating logistics for meetings, depositions, mediations, hearings, and trials
- Assisting with time entry, billing review, and expense reimbursement submissions through Aderant
- Supporting client intake, conflict checks, engagement letters, case approvals, and matter openings
- Assisting with case intake review, discovery management, and file summaries
- Creating and maintaining internal tracking systems and reports for major clients
- Supporting onboarding and file organization efforts for attorneys joining the practice group
- Collaborating with attorneys and various firm departments to support client service and operational initiatives
- Assisting with special projects and administrative initiatives as assigned
