Overview

The Executive Assistant serves as a trusted partner to executive leadership, providing high-level administrative support while helping drive key projects, meetings, and business priorities forward. This role manages complex calendars, travel, communications, and day-to-day coordination, while also supporting board and leadership meeting preparation, presentations, reporting, and cross-functional initiatives.

 

The ideal candidate is an experienced and highly organized Executive Assistant who is comfortable operating in a fast-paced environment, managing competing priorities, and following through on action items with limited oversight. This person will also contribute to office and culture initiatives and use technology—including Microsoft PowerPoint, Google Workspace, and AI tools—to improve efficiency and elevate executive support. 


Responsibilities

  • Manages and maintains executives’ schedules, travel arrangements, and leadership meeting cadences while supporting shifting business priorities.
  • Prepares reports, presentations, correspondence, budgets, and other business documents utilizing Microsoft 365 and Google Workspace applications. 
  • Serves as a liaison between executives, internal departments, external partners, and key stakeholders to facilitate effective communication and coordination. 
  • Supports operational and administrative processes including expense management, PTO tracking, invoice processing, PO management, and HRIS-related support. 
  • Coordinates executive meetings, leadership events, team functions, and other organizational activities including scheduling, logistics, vendor coordination, and meeting materials. 
  • Maintains organizational charts, departmental distribution lists, reporting documentation, and other operational records. 
  • Supports onboarding activities, recurring business cadences, leadership initiatives, and cross-functional projects as assigned. 
  • Handles confidential and sensitive information with professionalism, discretion, and sound judgment. 
  • Assists in the development and coordination of administrative procedures and operational processes to support organizational effectiveness. 
  • Performs additional duties and special projects as requested by the Executive Team. 

Qualifications

  • Bachelor’s degree preferred 
  • High School Diploma required 
  • At least 5 years’ experience supporting executive management, preferably in a C Suite environment 
  • Demonstrated ability to handle confidential information appropriately.
  • Attention to detail in composing, typing, proofing materials, establishing priorities, flagging items for attention and meeting deadlines. 
  • Excellent verbal and written communication skills 
  • Excellent internal and external customer service skills 
  • Excellent Microsoft Office application experience 
  • Professional appearance and demeanor 
  • Strong customer service skills 
  • Ability and availability to work extended hours including nights, weekends as needed by the Executive.
