Job Description:

  • Greet visitors and candidates and direct them to the appropriate personnel or department.
  • Perform general administrative duties, including answering phone calls, responding to emails, scheduling conference rooms, and organizing administrative files, correspondence, memos, and resumes.
  • Support workplace safety activities by maintaining safety records, preparing safety meeting minutes, following up on corrective actions, and assisting with the identification and reduction of workplace hazards.
  • Assist with equipment and office supply management, maintain accurate equipment and supply records, conduct weekly inventory checks, and support related SOP improvements.
  • Coordinate business travel arrangements when needed.
  • Organize monthly employee birthday celebrations and assist with newsletters and company events, such as annual outings, community service activities, and holiday celebrations.
  • Communicate and coordinate with vendors and service providers, including vending machine suppliers, waste management companies, property management, and maintenance providers.
  • Support recruitment, employee relationship, and onboarding activities, including scheduling interviews, communicating with candidates, preparing offer and onboarding documents, and coordinating new-hire orientation.
  • Assist with routine HR administrative tasks, including reviewing employee timecards, maintaining employee records, and supporting other assigned HR processes.

Job Requirement:

  • Associate’s or bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
  • Previous experience in HR, office administration, or a related role preferred.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong organizational, multitasking, and time-management skills, with the ability to prioritize effectively.
  • Detail-oriented, proactive, and able to research, learn, and complete tasks independently.
  • Proficient in Microsoft Office Suite and Google Workspace, including Docs, Sheets, and Slides.
  • Basic knowledge of workplace safety practices and procedures preferred.
  • Mandarin Chinese is preferred.
