HR ASSISTANT
Reports To: Human Resources Director
Job Type: Full Time
Hours Per Week: +40 hours
GENERAL DESCRIPTION
The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization's human resource department.
RESPONSIBILITIES AND DUTIES
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Maintains the integrity and confidentiality of human resource files and records.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Provides clerical support to the HR department.
- May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
- Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
- Responsible for entering employee data into the time and attendance system and assisting with corrections or adjustments as needed.
- Manage the uploading of disciplinary files, submission of terminations, and processing of new hires within ADP.
- Ensure accuracy in payroll by verifying direct deposit and payroll information for all employees.
- Manage the submission of garnishments and other payroll-related compliance activities.
- Compile evidence and documentation related to disciplinary actions and other relevant employee matters to support unemployment claims.
- Participate in unemployment hearings as needed, and ensure all necessary information is filed.
- Oversee the timely and accurate enrollment and unenrollment of employees in benefit programs.
- Performs other duties as assigned.
SKILLS
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
EXPERIENCE
- 2 years of experience as an HR assistant (essential).
- Exposure to labor law and employment equity regulations.
- Effective HR administration and people management skills.
- Exposure to payroll practices.
- Full understanding of HR functions and best practices.
- Excellent written and verbal communication skills.
- Works well under pressure and meets tight deadlines.
- Highly computer literate with capability in email, MS Office, and related business and communication tools.
- Fantastic organizational and time management skills.
- Strong decision-making and problem-solving skills.
- Meticulous attention to detail.
- Ability to accurately follow instructions.
- Experience with ADP (HRIS)
- HR Certification or Education (Preferred)
- Bilingual (Preferred)
