Operations Coordinator

Location: Irving, Texas

Position Summary

Om Produce is seeking a mid-level Outbound Operations Coordinator to own the accuracy and timeliness of everything that leaves our warehouse. This role manages order staging, load building, carrier coordination, and shipping documentation, ensuring every outbound order is picked, packed, and dispatched correctly and on schedule. The Operations Coordinator works closely with drivers, dispatch, sales, and customer service to keep outbound freight moving without delay, and serves as the connective tissue between the warehouse floor and the rest of the business.

The ideal candidate is highly organized, detail-oriented, and calm under pressure. They are equally comfortable coordinating with a driver on the dock and flagging a shipping discrepancy to the sales team. This role is best suited for someone who takes ownership of outcomes, communicates clearly across departments, and thrives in a fast-paced, deadline-driven environment.


Key Responsibilities

Order Staging & Load Coordination

  • Coordinate daily outbound order staging, load building, and dock scheduling to hit delivery windows
  • Verify pick/pack accuracy against orders before loading; resolve discrepancies before dispatch
  • Coordinate with inventory/receiving teams to ensure product availability matches outbound order demand

Carrier & Dispatch Coordination

  • Schedule and communicate with drivers, dispatch, and third-party carriers to confirm pickup times and routes
  • Communicate delays, shortages, or substitutions to sales and customer service in real time

Shipping Documentation & Cold-Chain Compliance

  • Prepare and review shipping documentation: bills of lading, packing slips, temperature logs, and delivery manifests
  • Monitor cold-chain compliance and proper loading practices for perishable produce during staging and transit

Performance Tracking & Process Improvement

  • Track outbound KPIs: on-time dispatch, order accuracy, load fill rate, and shipping discrepancies
  • Identify bottlenecks in the outbound process and recommend improvements to routing, staging, or scheduling

Team Support & Warehouse Coordination

  • Direct and support warehouse staff assigned to outbound picking, packing, and loading during each shift
  • Serve as a point of coordination between outbound staff, dispatch, and warehouse leadership during each shift


Qualifications

Education & Experience

  • High school diploma or equivalent required; associate degree in logistics or supply chain a plus
  • 2–4 years of experience in outbound logistics, shipping, or warehouse operations, ideally in produce or food distribution
  • Experience coordinating with carriers, drivers, or dispatch preferred

Skills & Competencies

  • Working knowledge of computers, Excel, and Word
  • Familiarity with cold-chain handling and food safety practices
  • Forklift/pallet jack certification, or willingness to obtain certification
  • Strong attention to detail and ability to manage a fast-paced, deadline-driven shipping schedule
  • Clear communicator, comfortable coordinating across drivers, staff, sales, and customer service
  • Ability to multitask and reprioritize quickly in a high-volume warehouse environment

Work Environment

  • Full-time, on-site position based in Irving, Texas in a warehouse and cold-storage environment
  • Requires standing, walking, bending, and lifting up to 50 lbs for extended periods when needed
  • Early morning, evening, weekend, or seasonal hours may be required based on shipping and delivery schedules
